Creating a New Field Mapping for Expenses and Expense Reports

You can map a Concur field to a field in PSA, using the Concur - PSA Configuration Lightning page and Custom Metadata Types.

Tip: We recommend that you use the Concur - PSA Configuration Lightning page to create a new field mapping and push keys and mapping updates to the Integration Hub.
Note: You can only do this for PSA Expenses and PSA Expense Reports.
Notes:
  • Before you start mapping Concur fields to PSA fields, you must also assign permissions to the PSA Assignment, Expense, Expense Report, Project, and Resource objects and fields. Even if you do not assign object and field permissions for the PSA PSA Assignment, Expense, Expense Report, Project, and Resource, you can still view the existing mappings while adding or editing the mappings, but you cannot select any objects and fields.
  • You can only perform these steps in Lightning if the PSA Fall 2021 package is installed.
  • Before you can save any changes to your mappings, your integration needs to be set to Active, and you must have performed the steps 1 and 2 for the Integration Hub Connector: Concur - PSA feature in Feature Console to authenticate. The mandatory mappings are configured by default. You can view default mappings, add custom field mappings, and override default field mappings:

  1. Open the Concur - PSA Configuration tab.
  2. In Concur - PSA Expense Report Field Mappings, you can:
    • View the source and target objects.
    • View the source and target fields for each mapping.
    • Add custom mappings.
    • Override the default (managed) mappings.
    • Save mapping records to custom metadata

  3. To push mappings to the Integration Hub, click Push Mappings.
    Note: It will also update Integration Hub Connector: Concur - PSA Feature Console step 4 to “Done”, if it is currently marked as “Not Done”.

To create a new field mapping for expenses and expense reports using custom metadata types, perform the following steps:

  1. In Setup, click Custom Code | Custom Metadata Types.
  2. Next to IHC Mapping Concur to PSA, click Manage Records. A list of existing mappings displays.
  3. Click New. The new mapping record page displays. For a description of all the available fields and the accepted values, see IHC Mappings Concur to PSA Fields in the PSA Help.
  4. Next to VDR Name, enter one of the following:
    • PSAExpense if you are creating a mapping to a field on the Expense object in PSA.
    • PSAExpenseReport if you are creating a mapping to a field on the Expense Report object in PSA.
  5. Next to VDR Key, enter a name for the mapping, without white spaces. This is used to identify the mapping in the Integration Hub and must be unique for the specified VDR Name. We recommend entering the name of the PSA field you are mapping to.
  6. Next to Label, enter the VDR Name followed by a single white space and the VDR Key. Once you move to the next field, the IHC Mapping Concur to PSA Name field automatically populates.
  7. Next to PSA Object, enter one of the following:
    • pse__Expense__c if you are creating a mapping to a field on the Expense object in PSA.
    • pse__Expense_Report__c if you are creating a mapping to a field on the Expense Report object in PSA.
  8. Next to Third-Party Application Object, enter one of the following:
    • expenses if you are creating a mapping from a field on the expense line in Concur.
    • reports if you are creating a mapping from a field on the expense report header in Concur.
  9. Next to PSA Field, enter the API name of the PSA field you are creating the mapping to.
  10. Next to Third-Party Application Field, enter the name of the Concur field you are creating the mapping from.
    Note:

    In some cases, you might need to append .Value or .Code to the name of the custom field in Concur. This depends on how the field is set up in Concur.

    • Contact the Concur Support team.
  11. Next to Third-Party Application, select "Concur".
  12. Click Save. The new field mapping is now created.
