Using the Cash Flow Analytics Dashboard

Note: Your version of Accounting must be Fall 2020 or later.

The Cash Flow Analytics dashboard provides you with a detailed analysis of how cash moves in and out of your companies over a given year, quarter, or period. Using column charts and flat gauges, this information is divided across three tabs:

  • Summary
  • Collections
  • Payments
Note: To navigate between the different dashboards, either click the relevant tab in the top header or click at the end of the dashboard title.

The Cash Flow Analytics dashboard displays data from the Financial Transactions dataset which includes data from the Transaction and Transaction Line objects in Accounting. By default, this dashboard displays data by period for the financial year greater than or equal to 2019.

This dashboard enables you to:

  • View the total cash flow in and out separated into Collections (cash in), Payments (cash out), and Summary (difference between cash in and out).
  • View your collections and payments data for any range of time using the filters provided.
  • Compare your collections and payments by year, quarter, or period.

If you want to edit the global filters which appear on this filter panel, click Edit to enter edit mode and click the global filters displayed under Filters. Click Manage Global Filters | Add Global Filter to add or remove fields from the Financial Transactions dataset. You can also add custom fields to your global filters.

Warning:

If your calendar is configured to contain more or less than 12 periods in a year, your dashboard data will be incorrect. With the exception of special periods, Analytics dashboards only support years with 12 periods. Also, you cannot compare data for companies with differing financial years.

The Cash Flow Analytics dashboard contains the following charts:

Free Cash Flow Flat gauge

The Free Cash Flow value represents the difference between Collections and Payments for the selected time range. A positive value indicates that more cash is being collected than is being paid.

The adjacent flat gauges display the collection and payment values separately for the same time range.

The columns display the Collections and Payments for the selected time range.

The line displays the difference between Collections and Payments. A positive value indicates that more cash is being collected than is being paid.

Collections Column comparison chart

Displays the total of Receipt and Refund cash entry types, according to the filters that you select.

Note: Values from journals are not included.
Note: If you have Accounting Fall 2020 or later, you can exclude bank account journal lines which do not represent cash in or cash out using the Exclude from Cash Flow checkbox. The excluded lines are not displayed in the Cash Flow Analytics dashboard. For more information see the Accounting Help.

Click any column to drill for more detailed information. The Collections By treemap and Transactions report update accordingly.

Collections by Treemap

Displays multiple values according to your selection in the drop-down. For example, you might choose to select "Account Name" and "Top 10". You then see the top 10 accounts, and their corresponding total collection values for the selected time range. The same information is displayed in an adjacent table.

In the treemap click any account to include or exclude them. The Collections column comparison chart and Transactions report update accordingly.

Transactions Report

Displays a list of Account transactions according to the filters that you select. Transactions are listed in date order, with the most recent transactions at the top of the report.

Note: If you see "Unknown" in the Account Name column, this is because the cash entry has multiple line items.

Actions:

  • To open a record, hover over any Transaction Document Number or Transaction Name and click | Open Record.
  • To exclude a journal transaction line item from Cash Flow Analytics:
    Note: This bulk action requires the Cash Flow Analytics permission set in Business Analytics and the Edit permission for the Transaction Line Item object in Accounting.
    1. In the upper-right corner of the report click | Exclude Journals from Cash Flow Analytics.
    2. In the new window select the checkbox of the lines you want to exclude.
    3. [Optional] To see the transaction line items in detail click Show Selected. To return to the previous view click Back to Results.
    4. [Optional] If necessary use the search box above the table to find transaction line items.
    5. Click Exclude. If the server takes a long time to respond, deselect some records and try again.
    6. You must run the dataflow to update the Cash Flow Analytics dashboard. Go to the Analytics Studio app | Data Manager | Connect. Next to Not Scheduled click | Run Now.
    7. Go to Monitor and wait until the status of Dataflow is "Successful". Click to refresh the page content and update the status.
    8. Go to Dataflows & Recipes. For the relevant app click | Run Now.
    9. Go to Monitor and wait until the status of Dataflow is "Successful". Click to refresh the page content and update the status.
      Note: The corresponding journal lines are not updated. If in the future you upgrade from your current version of Accounting, there will be journal lines with no value in the Exclude Journals from Cash Flow Analytics field. However, the transaction line item is still excluded.

Payments Column comparison chart

      Note: The corresponding journal lines are not updated. If in the future you upgrade from your current version of Accounting, there will be journal lines with no value in the Exclude Journals from Cash Flow Analytics field. However, the transaction line item is still excluded.
