Managing Accounting and Planning Data
Planning provides a built-in tool that allows you to import the aggregated financial data contained in the Accounting application and use the data to generate budgets and export updated budgets back to the Accounting application.
Data Synchronization tool supports several commonly used modes, for each of which you can make different configurations:
- Import Accounting into Planning as actual data for later comparison with planned data in reports.
- Import Accounting with a shift of periods one year ahead so that the imported data can later be used as initial for planning for the next year.
A distinctive feature of this configuration will be mapping with a shift in periods for the next year.
This example maps the 2019 periods to the corresponding 2020 periods. This allows you to carry over the actuals of the current year to the next year and then use mapping rules to create a starting point for budgets for the next year.
The filter allows you to control what exactly is imported as actuals more precisely. The filter uses the rules of the SOQL language and allows you to flexibly filter data (exclude part of the data by a certain criterion).
Once you have set up the Planning application, you can import information from Accounting to Planning or vice-versa.
To map accounting subtypes to accounting types mapping:
- Do one of the following:
- On the Links page, click Others | Data Synchronization.
- On the Planning Workspace tab, in the Navigation Pane, click Data Synchronization.
- In the Initial Sync tab, from the Accounting Account Subtypes to Planning Account Types Mapping, click Add.
- Select income and expense types in planning from GLA TrialBalance 2 and GLA TrialBalance 3 fields.
- Select the BP Account type.
- Click Save Account Types Mapping to save the mapping rules for accounts.
- Click Map Analytics.
- Click View Details to view mapping details.
The Data Synchronization tool allows you to export budget data from Planning to Accounting. This can be done from the corresponding Data Synchronization tab.
You can configure several options for importing Planning data from Accounting.
To configure planning data from accounting:
- Do one of the following:
- On the Links page, click Others | Data Synchronization.
- On the Planning Workspace tab, in the Navigation Pane, click Data Synchronization.
- In the From Accounting ➩ to Planning tab:
- In the Import Setup:
- Click Create Default Configuration to create mapping configuration.
- Select the mapping configuration that you want for your mapping configuration from the Mapping Configuration drop-down. For example, select Actuals 2020 to Budget 2021.
- Specify the additional reporting balance filter for the configuration. For example, c2g__IntersectDefinition__r.Name = 'a5r0R0000005oA6'.
- Select the reporting balance type.
- Click Add Configuration and enter the configuration name and configuration description. Click Save to save the configuration record.
- Enter the approximate number of expected reporting that fall under the filter settings.
- Click Delete BPRBS for selected Configuration to delete the BP accounts from the configuration.
- Click Delete All BPRS to delete all BP accounts.
- Click Import to import actual reporting balances as per the configuration.
- Click to obtain an approximate number of imported records after saving all changes in the filters and specifying the start date and end of the period for import.
- In the Mapping section, depending on the configuration:
- Correlate Accounting General Ledger accounts with Planning accounts or Accounting periods with Planning periods
- Implement the data offset for a certain period of time to use the fact as a source of budgets for the next year.
- Click Add to account mapping. Specify the Accounting General Ledger accounts, planning account, and owner.
- Click | Edit and update the account mapping fields.
- Click | Delete to delete the account mapping record.
- Click Save Configuration and Mapping to save the information.
The From Planning to Accounting tab allows you to export accounting RB produced from planned budgets back to Accounting RB for use in reports.
To delete the previous Accounting RB settings exported from Planning, click Delete Selected Exported RB.
To start the export with current settings, select the Intersect definition, report type, source balance and click Run BP->Accounting Data Export.
After completing all import and export settings, you can view all the active imports from the Flow Reports tab.
- Click details to view the detailed information on each report.
- Click Refresh Import Report to update information on all reports.
- Click Del to delete a report from the import report list.
