Vendor Invoice Fields

The Vendor Invoice and Vendor Invoice Item objects are included in PSA. For a description of the fields included in PSA, see Vendor Invoice Fields.

Here is a description of the fields that SRP adds to the Vendor Invoice object.

Key: R – Read-only, E – Only applicable when the integration is running in enhanced modeClosed When SRP runs in enhanced mode, it uses the improved mechanism introduced starting with Spring 2021. This includes better flow execution performance and a modern user experience. Enhanced mode is enabled when the Run Integration in Enhanced Mode field in the SRP Integration Settings custom setting is selected., L – Only used when the integration is running in legacy modeClosed When SRP runs in legacy mode, it uses the older mechanism that were introduced before Spring 2021. Some features and modern user experience components aren't available in legacy mode. Fields Added to the Vendor Invoice Object

Description
Automatically Pass to Accounting E When selected, the vendor invoice is automatically passed to Accounting as soon as it becomes eligible.
Company  

Accounting company the vendor invoice relates to.

Automatically set to your current Accounting company. If you are operating in multi-company mode or a current company isn't configured, this field is left blank.

Eligible Expense for Credit Note

Indicates whether the vendor invoice is an eligible employee expense for creating a payable credit note (1) or not (0).

Set to 1 when all the following are true:

  • Total contains a negative value.
  • Submitted is selected.
  • Approved for Payment is selected.
  • Related account has the Account Type field set to "Employee".
Eligible Expense for Invoice

Indicates whether the vendor invoice is an eligible employee expense for creating a payable invoice (1) or not (0).

Set to 1 when all the following are true:

  • Total contains a positive value or zero.
  • Submitted is selected.
  • Approved for Payment is selected.
  • Related account has the Account Type field set to "Employee".
Eligible for Payable Credit Note

Indicates whether the vendor invoice is eligible for creating a payable credit note (1) or not (0).

Set to 1 when all the following are true:

  • Total contains a negative value.
  • Submitted is selected.
  • Approved for Payment is selected.
Eligible for Payable Invoice

Indicates whether the vendor invoice is eligible for creating a payable credit note (1) or not (0).

Set to 1 when all the following are true:

  • Total contains a positive value or zero.
  • Submitted is selected.
  • Approved for Payment is selected.
Passed to Accounting  

Indicates whether the vendor invoice has been passed to Accounting.

Vendor Invoice Currency  

Accounting currency for the vendor invoice.

Automatically set to the Accounting currency linked to the company that has the same ISO code as the Currency field.

Creates a payable invoice or credit note from an eligible vendor invoice.

Notes:
  • Only available when the integration is running in enhanced mode.
  • This Lightning action replaces the Create Payable Invoice/Credit detail page button.
Buttons Added to the Vendor Invoice Object

Create Payable Invoice/Credit Detail Page Button Creates a payable invoice or credit note from an eligible vendor invoice.
Create Payable Invoices/Credits List Button Creates payable invoices and credit notes from eligible vendor invoices.
Process Employee Expense Detail Page Button

Creates a payable invoice or credit note from an eligible employee expense vendor invoice.

Note:

The Employee Expenses to Payable Invoices or Credit Notes flow is not available in enhanced mode. We recommend that you remove this button from any page layouts after upgrading to enhanced mode.

Process Employee Expenses List Button

Creates payable invoices or credit notes from eligible employee expense vendor invoices.

Vendor Invoice Item Fields

Here is a description of the fields that SRP adds to the Vendor Invoice Item object.

Calculate Tax Value From Rate V

Specifies whether to calculate the relevant tax value from the associated tax rate when the vendor invoice item is passed to Accounting.

Selected by default.

Derive Tax Rate From Code V

Specifies whether to derive the relevant tax rate from the associated tax code when the vendor invoice item is passed to Accounting.

Selected by default.

GLA Code  

General ledger account for the vendor invoice item. Used to populate the General Ledger Account field of the payable invoice or credit note expense line item created from the vendor invoice item.

This field can be automatically populated from the related business records. For more information, see How Is the GLA Code Field Populated for a Vendor Invoice Item Record?

Input VAT Code V Tax code used in Accounting, along with the invoice date, to derive the tax rate. Used when the Set Tax Code to Default is deselected.
Net Value

Debit value not including tax.

Calculated as Amount - Tax Value.

Net Value - Credit

Credit value not including tax.

This is the Net Value with the opposite sign.

Set Tax Code To Default V

Specifies whether to set the tax code to the default defined by the tax mode when the vendor invoice item is passed to Accounting.

Selected by default.

Tax Rate V Tax rate applied when the vendor invoice item is passed to Accounting.
Tax Value V Total value of tax relating to the debit value of the vendor invoice item, to two decimal places.
Tax Value - Credit

Total value of tax relating to the credit value of the vendor invoice item, to two decimal places.

This is the Tax Value with the opposite sign.
