Creating Journals from All Eligible Inventory Transactions

You can create journals from all eligible inventory transaction perpetual records by clicking Create from Inventory Transactions on the Journals list view. This might be useful if you want to export all the eligible inventory transactions to Accounting at once but prefer not to schedule recurring jobs.

An inventory transaction perpetual record is eligible for this process when all the following are true:

  • The type of perpetual record is included in one of the eligible inventory transaction types. For more information, see Eligible Inventory Transactions.
  • All the required fields are populated on the perpetual record and its related financial records. For more information, see Automatically Populated Fields.
  • The Export Status field on the perpetual record is not set to "Exported" or "Export in Process".

To create journals from all eligible inventory transactions:

  1. Navigate to the Journals tab.
  2. From the list view, click Create from Inventory Transactions. The journals are created in the background.

Depending on how your org is set up, you might receive an email and a Salesforce notification. The notification contains information about the number of journals that were created successfully and the number of errors, if any. The email contains a list of journals that were created and the inventory transactions that they were created from. If any errors occurred, the email also provides a list of errors. If email and Salesforce notifications are not enabled in your org, you can review the inventory transaction perpetual records with the Export Status field set to "Export Error". You can create a list view for the Inventory Transaction Perpetual Record object that filters records with an error and displays the Export Error field. This field provides more information about why the journal could not be created.

Note:

The Inventory Transaction Perpetual Record and Inventory Transaction Financial Record are background objects. In order to restrict access, these objects are not included in managed Order and Inventory Management permission sets and tabs. If you require access to the objects, contact your administrator.
