Work Planner Lightning Component Fields

The following Work Planner Lightning components include the fields and buttons described:

  • Line Manager Work Planner
  • Project Manager Work Planner
  • Resource Work Planner
  • Work Planner (on the Work Planner Lightning page provided by Certinia or added to a custom Lightning page by your administrator)
  • Work Planner in Experience Cloud sites.

For all the lookup fields, you can also click Show All Results for “ ”. The search lookup window opens with the searched string populated in the Search field and displays all related items in the grid.

Select the item from the grid that you want and click Select. The selected item is then displayed in the lookup field. For more information, see Using Advanced Lookup.

Note:

If Shield Platform Encryption is enabled in your org, the records in the Resource, Account, and Opportunity search lookup window are filtered using only the Name field in the grid.

Fields

Field

 

Description
Name S, G

The name of the resource, project, region, practice, or group, depending on the grouping option selected from the toolbar.

When grouping by region, practice, or group, PSA displays the relevant RPGClosed Abbreviation of region, practice, group. name and uses the following criteria in the order shown to determine an assignment or resource request record’s RPG:

  1. The RPG set on the relevant resource.
  2. The RPG set on the resource request, for resource request records.
  3. The RPG set on the associated project.

If there is no RPG set on any of the above, a grouping called No Region, No Practice, or No Group is displayed in this column as appropriate.

Project G The project associated with the assignment or resource request. Displayed when grouping by resource.
Resource G The name of the resource on the associated assignment or resource request. Displayed when grouping by project.
Total Hrs G

The total number of hours on the schedule for the associated assignment or resource request. This column is automatically updated whenever you edit a value in the grid or when the relevant schedule records are changed. Also displayed in the Current Scheduled Hours field when hovering over an assignment or resource request in the Name column.

Note:

This value reflects the total scheduled hours for the associated assignment or resource request across the entire schedule, not just the days specified in the filter criteria.

Buttons

Button Description Default
Reload

Reloads the relevant Work Planner component. This is useful if, for example, assignments or resource requests are created after you loaded the page, or if you have made a change in a different tab. If you have not yet saved changes you have made, this button enables you to return to the last saved state.

Today Displays the current day on the timeline and maintains the current zoom level. Not applicable
Change View or Change View Displays the following views:
  • Scheduler: Shows assignments and resource requests grouped by RPG, project, or resource over time.
  • Grid: Lists the resource requests and assignments within the same date range, grouped by RPG, project, or resource. Shows the number of hours a resource is scheduled to work on the corresponding assignments or resource requests and indicates if a resource is correctly allocated, over allocated, or under allocated.
Scheduler
Resource, Project, Region, Practice, or Group

Groups the data displayed:

  • Resource: Displays all resources with related assignments or resource requests grouped underneath. You can expand each resource to view details of the related assignments and resource requests. For unheld resource requests, you can expand the Resource Requests row to view details of the required roles.
  • Project: Displays all projects with related assignments or resource requests grouped underneath. You can expand each project to view details of its related resources, assignments, and resource requests.
  • Region: Displays all regions with related assignments or resource requests grouped underneath. You can expand each region to view details of its related resources, assignments, and resource requests.
  • Practice: Displays all practices with related assignments or resource requests grouped underneath. You can expand each practice to view details of its related resources, assignments, and resource requests.
  • Group: Displays all groups with related assignments or resource requests underneath. You can expand each group to view details of its related resources, assignments, and resource requests.

Line Manager Work Planner and Work Planner for resource managers default to Resource.

Project Manager Work Planner and Resource Work Planner default to Project.

Zoom Level

Changes the view between days, weeks, months, quarters, and years. The zoom level you set is retained if you use the same browser on the same device.

Notes:
  • On the grid view, you can only edit the hourly values when using the Days and Weeks zoom levels.
  • If you view the grid after viewing the scheduler, the grid automatically matches the zoom level you were using on the scheduler.
Weeks
Record Details

Shows details of the selected assignment, project, resource, or resource request on the relevant tab of the Record Details panel.

The panel stays open until you close it and is also used to display filter criteria. This means you can set filters easily and click through other records on the work planner to quickly view information about them.

Filters Filters the display. Click Filters to open and close the panel.

The panel stays open until you close it. It is also used to display assignment details, project details, resource details, and resource request details. This means you can set filters easily and click through other items on the work planner to quickly view information about them.

Selected filters are retained if you use the same browser on the same device.

Line Manager Work Planner filters default to:

  • The resource associated with your Salesforce user.
  • Resources with your name in the Reports To field on their contact record.

Project Manager Work Planner filters default to:

  • Any projects where the current user is set as the project manager.
  • Any projects the current user is assigned to.
  • Any projects where the current user is a held resource.

Resource Work Planner filters default to the resource associated with your Salesforce user.


The Work Planner for resource managers does not have any default filters.

Open the Preferences panel

Enables you to set preferences for the information displayed in the work planner, and how the information is displayed.

Clone Assignment

Clones the selected assignment. This action is displayed when you right-click an assignment from the grid view or the scheduler view. For more information, see Cloning Assignments.

Swap Resource & Split Assignment

Swaps an existing resource with a new resource or splits the selected assignment. This action is displayed when you right-click an assignment from the grid view or the scheduler view. For more information, see Swap Resource and Split Assignment.

Filter Fields

The filter panel contains the following fields.

Hide Zero Hour Commitments   Assignments or resource requests containing zero hours are not displayed.
Practice   Search for and select one or more practices to view.
Project   Search for and select one or more projects to view.
Region   Search for and select one or more regions to view.
Resource   Search for and select one or more resources to view.

Start Date

* The date range for data displayed in the relevant work planner component. The default date range is six months either side of today’s date.

Filter Buttons

The filter panel contains the following buttons.

Apply Updates the contents of the work planner using the filter criteria specified.  
Reset Returns the filter criteria to the default values.  
Down arrow | Save As Opens the Save Filter window, where you can save your own filters with a unique name.  
Down arrow | Save Enables you to save your filter after making updates or modifications. Click this button when you have finished updating your saved filter and want to save the changes.  
Filter set controls

Enables you to manage the saved filter sets that you have created. You have the following options available:

  • Set as Default.
  • Edit.
  • Delete.
  • Remove Default (this option is only available if the filter selected in the Saved Filters list is your default filter).
 

Preferences Fields

The Preferences panel contains the following fields.

Description
Less Than   Resources with an allocation less than this percentage value are under allocated.
Greater Than   Resources with an allocation greater than this percentage value are over allocated.
Planned Allocation Range   The optimal percentage range of time that a resource is allocated.
Use Cell Shading   When selected, the grid cells are colored instead of using the graphics to indicate each resource's allocation status.
Use Utilization Target  

When selected, each resource's utilization target is used with the allocation percentages to calculate the resource's allocation status.
