PSA Direct for Concur Expense Settings Fields

Use these settings on the PSA Direct for Concur Expense Settings tab to configure and activate the PSA Direct for Concur Expense connector.

Notification Settings Fields
Field Description
From

The organization-wide email address ID from which error notifications are sent if an error occurs when synchronizing PSA information from Concur. For example, test123@xxx.com.

Notes:
  • Ensure the organization-wide email address ID is a verified email address.
  • Select the default option when you want error notifications to be sent from the system's default email address.
To The system default email address or user email is assigned to which error notifications are sent so that the user or the administrator is aware of any issues. For example, test123@gmail.com.
PSA to Concur Synchronization Settings Fields
Field   Description
Allow Deletion of Assignments   If selected, the assignments are deleted in Concur when they are deleted or are made inactive in PSA.
Allow Deletion of Projects   If selected, the projects are deleted in Concur when they are deleted or are made inactive in PSA.
Allow Deletion of Resources   If selected, the resources are deleted in Concur when they are deleted or are made inactive in PSA.
Concur field name for PSA Project *

The name of the Concur custom field used for PSA projects. If you want to sync project manager information with the project, enter the name of the multi-level list in Concur, for example, Project-Project Manager. The default value is Project-Project Manager.

Note: Once the Concur field name for PSA Project field or Concur field name for PSA Resource-Assignment field values has been synchronized from PSA to Concur, any updates to the value will not be possible.
Concur field name for PSA Resource-Assignment *

The name of the Concur field used for the resource-assignment linked list. The default value is Resource-Assignment.

Note: Once the Concur field name for PSA Project field or Concur field name for PSA Resource-Assignment field values has been synchronized from PSA to Concur, any updates to the value will not be possible.
Synchronize Assignment Information * Controls when the PSA assignment is synced with Concur.
Synchronize Project Information * Controls when the PSA project is synced with Concur.
Synchronize Project Manager   Controls when the PSA project manager is synced with Concur.
Synchronize Resource Information * The PSA resource synchronizes with the Concur resource.
Concur to PSA Synchronization Settings Fields

 Description
Billable Expenses Only  

If selected, imports the expense lines where the Is Billable field value in PSA is Yes. By default, it is deselected.

Note: In the Expense lines mode, If there are any non-billable expenses from Concur that already exist in PSA and have been synchronized before selecting the Billable Expenses Only checkbox, then these non-billable expenses in PSA will not be updated, even if the corresponding expenses are modified in Concur.
Generate Reports from Expense Lines  

If selected, the connector will generate Expense reports on PSA from individual Concur Expense lines matched using a combination of resource, project, and assignment.

 

When deselected, the information from Concur Expense reports is used to create Expense reports on PSA.

 

By default, the checkbox is deselected.

Note:
  • If you select the Generate Reports from Expense Lines checkbox, the Synchronize Empty Expense Reports checkbox will be automatically disabled.
  • If you try to synchronize an expense report from Concur to PSA using the Certinia Help connector and it has more than 200 expense lines, the connector will reject the Expense Report.
  • In case of partial failure, where some expense lines fail to send, they will be queued in the Certinia Help Queue Status tab. To resolve the issue, you will need to manually perform the run.
Expense Report Synced Status  

Displays the statuses of the expense reports that will be synchronized from Concur. Select at least one available expense report sync status to allow the synchronization of expense reports of that status from Concur to PSA. By default, Approved is selected.

 

The possible values are:

  • Approved - The expense report submitted is approved.
  • Draft - The expense report is in draft.
  • Rejected - The expense report submitted is rejected.
  • Submitted - The expense report is submitted
Expense Images  

If selected, synchronize the expense images from Concur to PSA. By default, it is deselected.
Expense Report Images  

If selected, synchronize the expense report images from Concur to PSA. By default, it is deselected.
Empty Expense Reports   If selected, the empty expense reports records from Concur are synchronized to PSA. By default, it is deselected.
Cleanup Queue Events Settings Fields

Minimum Hours for Failed Queue Events *

The minimum hours to keep failed Connector Core Queue Events before the next scheduled removal job deletes them. The value is in the range of 1 to 9999.
Minimum Hours for Successful Queue Events *

The minimum hours to keep successful Connector Core Queue Events before the next scheduled removal job deletes them. The value is in the range of 1 to 9999.
Concur Poller Settings Field

 Description
Concur Poller Frequency *

The number of minutes between the collections of expense reports that have changed in Concur. You can enter a value in the range of 10 to 9999. By default, the value is 30.
Custom Date and Time Range  

If selected, you can manually enter the date range to synchronize the date and time.

Note: If you reload the page, the entered date range to synchronize will be erased.
Enablement Settings Fields
Field Description
Enable PSA Direct for Concur Expense

Indicates whether the PSA Direct for Concur Expense connector is activated or not. By default, it is deactivated.
Pause PSA Direct for Concur Expense

If selected, the synchronized events will be queued but not processed. By default, it is deselected.

Note: You can only pause events when the PSA Direct for Concur Expense connector is activated.
Sandbox Configured

If selected, it indicates that the sandbox environment has been configured correctly. If deselected, PSA Direct for Concur Expenseconnector will not synchronize to or from Concur.

Note:

The Sandbox Configured checkbox is only visible in the Sandbox environment.
