Recurring Journals Fields

Here is a description of the fields and buttons related to the creation of recurring journals.

Source Journal Detail

This section displays information about the source journal. All details are read-only.

Journal Information

Field Description
Number of Recurrences The number of recurring journals you want to create (up to 26).
Frequency

Choose the frequency at which you want the journals to recur. This determines the journal date of each recurring journal. The options are:


Monthly - Journal date defaults to the first day of the next calendar month.

By Period - Journal date defaults to the first day of the next period.

Quarterly - Journal date defaults to the first day of the next quarter (January 1, April 1, July 1, October 1).

The first row in the list of journals is populated by the source journal if its status is "In Progress".

Key: R – Read-only; * – Mandatory field

Field   Description
Description * The description for this recurring journal. It defaults to the description from the source journal.

You can click Copy to copy the description on the current row to all the other rows. If you subsequently increase the number of recurrences, the additional rows will still take their default description from the source journal.
Journal Date * The date for this recurring journal.

The journal date is determined by the Frequency except on the first row where the date is today's date if the source journal is "Complete", or is the source journal's date if that journal is "In Progress".

If you edit the date on the first row, you can click to recalculate the journal dates and periods of the subsequent recurring journals relative to the edited date.
Period * The period for this recurring journal. This defaults to the period that the Journal Date falls into.
Total Debit Amount R The total debit amount for this recurring journal. It defaults to the total debit amount from the source journal and cannot be edited,

Recurring Journal Line Items

This section displays the journal line items that will be repeated on each journal. All details are read-only.

Buttons

The following buttons may display. The availability or validity of these buttons varies according to many factors, including org configuration.

Button Description
Save Saves the new journals without posting. Their status changes to "In Progress".
Save & Post Saves the new journals and posts them. Their status changes to "Complete".
Cancel Returns you to the Journals list view without saving.
