Creating Sales Invoices from Multiple Opportunities
If you want to convert multiple opportunities to sales invoices, you can do this quickly by selecting the opportunities in the list view and clicking Create Invoices. An "In Progress" sales invoice will be created for each selected opportunity.
Note that:
- Sales invoices can only be created from opportunities that have an account and are at the "Closed Won" stage.
- You cannot create recurring invoices in this way. If you select opportunities containing products with quantity or revenue schedules, when you click Create Invoices a message will be displayed informing you that invoices will not be created for those opportunities. - The number of opportunities you can select at once depends upon platform limits. We suggest you start by selecting no more than 10 opportunities, and fewer still if they have income schedules. If you exceed the platform limits, a message about "Too many SOQL queries" will be displayed when you try to create the invoices. If this happens try again with fewer opportunities selected.
To create sales invoices from multiple opportunities:
- Click the Opportunities tab.
- Choose a predefined view from the drop-down list to select the records to display. Alternatively, you can select Create New View to define your own list view.
- Use the checkboxes on the left to select the relevant opportunities.
- Click Create Invoice. A confirmation page is displayed where you can optionally override invoice details. Any edits you make will apply to all the invoices that are created from the selected opportunities.
- [Optional] You can edit the Invoice Date which defaults to today, and the Period which defaults to the year/period of the invoice date (within the context of your current company).
- [Optional] You can override the exchange rates that will be used on each sales invoice for document to home, and home to dual currencies by entering alternative rates in the Invoice Rate and Dual Rate fields on the relevant row. If the opportunity currency is the same as home or dual, you cannot override the corresponding exchange rate. The rates applicable on the invoice date are displayed for information purposes. If you do not enter overriding rates, the current rates at the time of posting are applied.
- Click Create Invoices to proceed. If successful, the sales invoices are created with the status "In Progress" and you are returned to the opportunities list view. If any errors occur, you remain on the current page and the error messages are displayed at the top of the page.
