Hours Breakdown Overview

The Hours Breakdown view in the Builder enables you to specify the hours for each role request per week. These edits are saved to the role request's schedule record, which is automatically created when the Builder loads. When a resource request is created from a role request, the schedule created in the Hours Breakdown view is the preferred schedule of the new resource request. For more information, see see Schedule Fields.

Notes:
  • The Hours Breakdown view assumes a Monday to Friday working week, unless a role request is associated with a work calendar.
  • Role requests with calculated hours can't be edited in the Hours Breakdown view. For more information about calculated hours, see Calculating Hours by Percentage.

Default Spread of Hours

By default, the hours per week for a role request are equally spread from Monday to Friday in whole numbers. As a result, the days of the week that the role request starts and ends on are also taken into account. For example, if a role request starts on a Wednesday, the hours for that week will be less than the following full week.

Example:

This table shows how three different role requests' hours are spread by default.

Work Calendars

You can choose whether individual estimates should respect work calendars. If the Use Work Calendars for Scheduling field is selected on an estimate, hours are not allocated on non-working days specified in a role request's associated work calendar. For more information about work calendars, see About Time Periods, Work Calendars, and Holidays.

When non-working days exist on a resource's work calendar, schedule exceptions are created to account for these. For more information, see Schedule Exceptions Overview.

Icons

When work calendars are respected, the following icons are displayed in the Hours Breakdown:

  • Red up arrow indicates that the role request is over allocated within the week.
  • Palm tree indicates the role request's work calendar has holidays within the week.
  • Red palm tree indicates the role request has holidays and is over allocated within the week.
Example:

This table shows how four different role requests' hours are spread by default with Monday to Friday work calendars and different holidays. The role requests have the following holidays according to their work calendars:

  • Role Request 1: No holidays
  • Role Request 2: January 12
  • Role Request 3: January 9-15
  • Role Request 4: Half day on January 12

Maintaining the Hours Breakdown of a Role Request

The hours breakdown of a role request is maintained when using the following actions:

  • Add from Template
  • Create Estimate from Template
  • Create Template from Estimate
  • Manage Products
  • Move Estimate Dates

If work calendars are enabled on the estimate, the spread of hours is adjusted as required. This adjustment accommodates the work calendars within the dates of the estimate to which the role request is copied.
