Setting Up the Avalara VAT Reporting Integration

To set up the Avalara VAT Reporting integration, you must perform the following steps.

  1. Configure the Avalara VAT Reporting SaaS Settings fields and enable the integration using Feature Console. For more information, seeEnabling the Avalara VAT Reporting Integration and the section below.
  2. Enable Localization in Accounting. For more information, see Using Localization.
  3. [Optional] Customize the default Accounting to Avalara VAT Reporting mappings. For example, if you want to use data from a custom field, rather than a standard Accounting field. For more information, see About the Avalara VAT Reporting Mappings.
  4. [Optional] If your company has multiple VAT numbers, you must create a new Company for each VAT number. In Accounting, you cannot add multiple VAT numbers to one Company.
Note:

If you previously performed steps 3 and 4 of the Localization Setup feature on the Feature Console page, perform these steps again to add new Country ISO Codes.

Configuring the Avalara VAT Reporting SaaS Settings Fields

Note:

Ensure you have the Task Launcher - Data Setup and Management custom permission assigned to perform this task.

To configure the Avalara VAT Reporting SaaS Settings:

  1. On the Accounting Task Launcher, in the Data Setup and Management section, click Manage Avalara VAT Reporting Credentials.
  2. In the API Key field, update the Avalara API Key.
  3. In the Account ID field, update the value to your Avalara Account ID.
  4. In the Environment field, update the details for the Avalara VAT Reporting SaaS environment that you want to connect to.
  5. [Optional] Select the Include Intrastat Data checkbox.
  6. [Optional] Select the Store Files checkbox if you want to store the files in your org. The XML file is available in Files and on the related Avalara VAT Reporting Batch record. If not visible, navigate to the Avalara VAT Reporting Batch object and add the Files related list to the page layout.
  7. Click Save.

Configuring the Avalara Poland VAT Reporting Settings

On the Avalara VAT Reporting Integration feature in the Feature Console page, perform the following steps:

  1. [Optional] Click Perform from step 8 to update the Poland VAT reporting custom fields. The Avalara Return Setting window displays.
  2. [Optional] Click Confirm to create the custom fields.

Once the fields are created, you must do the following:

  1. Manually add the following fields to the Sales Invoice and Credit Note page layout and Sales Invoice and Credit Note Line page layout:
    1. The OutsourcingPartyType, OutsourcingPartyName, OutsourcingPartyAddress, OutsourcingPartyVRN, and ExemptionReason fields to the Sales Invoice and Credit Note page layout.
    2. ItemIdentifier to the Sales Invoice and Credit Note Line page layout and to the Payable Invoice and Credit Note Line field set.
  2. Edit relevant Poland mappings under the Avalara VAT Reporting Integration custom metadata. For more information see About the Avalara VAT Reporting Mappings.

When you send a Credit Note document to Avalara VAT Reporting, the system displays the error "Credit notes not allowed for this country without certificate" in the Avalara VAT Reporting environment.

To resolve the error, you must perform the following steps in the Avalara VAT Reporting environment:

  1. Navigate to the Errors and Warnings tab in the Avalara VAT Reporting environment.
  2. Select the specific error by clicking the checkbox.
  3. Click View and Resolve. The Credential Poland Company Resolve Error window displays.
  4. Select the checkbox. From the Apply to selected dropdown list, select the Enter credit note certificate date option.
  5. Select the date when you want to post the credit note and click OK to reprocess.
