Duplicating Payable Credit Notes

You can create payable credit notes by duplicating the existing ones. This creates a new "In Progress" payable credit note with the same information, but with a new payable credit note number. You can duplicate a payable credit note regardless of its status.

When duplicating one or more documents, you can select any future open period for the new documents to be duplicated. The new documents are created for the same company, with the document date automatically set to the first day of your selected period.

The due date of the payable credit note duplicated from a closed period will be recalculated based on any change to the credit date.

The default due date of the duplicated document will be the document date. You can amend this date, but it cannot be earlier than the credit date. If you amend the credit date, the due date is recalculated automatically.

Duplicating a Single Payable Credit Note

To duplicate a single payable credit note:

  1. Navigate to the detail page for the payable credit note you want to duplicate.
  2. On the payable credit note's Lightning page, click Duplicate. The Duplicate Payable Credit Note window opens.
  3. Select the period to which you want to duplicate the document and click Duplicate. If the current period is open, it is selected by default; otherwise, the next available open period is selected.

The existing payable credit note is duplicated and a new payable credit note is created with a new payable credit note number.

Duplicating Multiple Payable Credit Notes

To duplicate multiple payable credit notes using Lightning:

  1. Click the Payable Credit Notes tab.
  2. Select a predefined view from the drop-down list to select the records to display. Alternatively, you can select Create New View to define your own list view.
  3. Use the checkboxes on the left to select the payable credit notes from the same company that you want to duplicate. We recommend selecting no more than 20 credit notes.
  4. Click Duplicate. The window for duplicating payable credit notes displays. If this button is not available, contact your administrator, or see the Salesforce Help for more information about adding buttons to list views.
  5. Select the period to which you want to duplicate the documents and click Next. If the current period is open, it is selected by default; otherwise, the next available open period is selected.
  6. Review the selected documents and click Duplicate. The existing payable credit notes are duplicated and new payable credit notes are created with new payable credit note numbers.
Notes:
  • All information from the Related tab and the Product Line tab is copied to the new payable credit notes.
  • The Transaction Number, Vendor Invoice Number, Payable Credit Note Status, Payment Status, and Outstanding Value fields are not copied to the new payable credit notes. Note that you can control the duplication of the Vendor Credit Note Number on duplicated payable credit notes using the Accounting Settings custom setting. For more information, see Accounting Settings
  • The Vendor Invoice Number is copied with the Duplicate prefix.
  • When you have more than one current company selected, you can duplicate payable credit notes for any of the currently selected companies. You do not need to change the current company. Administrators can duplicate payable credit notes for any of their user companies, regardless of their current company selection.
  • For faster processing, payable credit notes are duplicated in parallel by default. You can control this using the Parallel Document Duplication custom setting. For more information, see Mass Actions Settings
  • Duplicating multiple payable credit notes from a closed period is based on the same core logic as duplicating a single payable credit note. However, this action is performed as a batch process, exclusively from the List View.
