Actions Overview

In PSA, an action is a specific task or follow-up item identified during project execution. These actions are typically raised as part of the RAID log to track critical next steps or resolutions.

Each action:

  • Has an assigned owner responsible for completion.
  • Includes key details like name, description, and status for accountability.
  • Is linked to relevant project elements. For example, milestones and opportunities.
  • Is monitored for timely completion.

Actions help maintain project momentum by ensuring clear documentation, tracking, and execution of important tasks. You can create an action from the following:

  • Actions Tab
  • Related tab on the project record
  • RAID actions in the Actions panel

PSA Project To-Do List and PSA Project To-Dos Lightning Components

Several Lightning components work with actions. The following two are dedicated to managing the actions linked to a project or project task without leaving the record:

  • PSA Project To-Do List. Add this component to project record pages and project task record pages. On a project record page, it shows actions linked to that project. On a project task record page, it shows actions linked to that task.
  • PSA Project To-Dos. Add this component to project pages in Experience Cloud Sites. It shows actions linked to that project.

Both components organize actions into Open and Completed sections. Selecting an open action marks it complete and moves it to the Completed section. Selecting a completed action reopens it and moves it back to Open.

Creating, Editing, and Deleting Actions

To add an action quickly, type its name into the input field at the bottom of the Open section and press Enter. The new action is linked to the project, and to the project task if the component is on a project task record page.

Note:

Quick-add creates an action using only the action name. If another field on the Action object is required at the object level (rather than through the field set), quick-add can't complete. To create actions in this situation, add the required field to the field set used by the component, then select New rather than using quick-add so you can enter a value for the field.

To capture more details for a new action, select New. A window opens with fields determined by a field set on the Action object. To edit an existing action, choose Edit from the row action menu next to it; the same window opens prepopulated with the action's values. To remove an action, choose Delete from the row action menu and confirm.

Note:

The default field set is To-Do List Fields, which includes Action Name, Action Owner (a Contact lookup), Status, and Completed Date. Administrators can select a different field set using the Action Fields Field Set property in the Lightning App Builder or Experience Builder.
