Dated Resource Rates Overview

Dated resource rates enable the bill or cost rate used by a resource request or assignment to continuously update in sync with changes to rates on the linked bill rate card or cost rate card. For example, if an assignment spans multiple years and a new bill or cost rate is introduced during the second year, the assignment will automatically start using the new rate from the date it becomes effective. This means that the initial rate applied to an assignment can change within its duration.

Note:

You can only use two of either dated bill rates, dated cost rates, or static rates at the same time, but you cannot use all three.

Dated Resource Bill Rate Example

When a timecard is submitted for an assignment that uses dated resource bill rates, the bill rate in effect on each day of the timecard is used. For example, the rate card linked to a long-running assignment has the following dated resource bill rates:

Assuming that the bill rate is a daily rate, when the resource working on that assignment submits timecards for 2024 their daily bill rate is 100, and for 2025 their daily bill rate is 150. For the week commencing December 30, 2024, the following bill rates apply:

The total billable amount for the timecard split that covers Monday - Tuesday is 2 x 100 = 200.

The total billable amount for the timecard split that covers Wednesday - Friday is 3 x 150 = 450.

The total billable amount on the timecard header is 200 + 450 = 650. The bill rate on the timecard header is an average: 650 / 5 = 130.

Dated Resource Cost Rate Example

When a timecard is submitted for an assignment that uses dated resource cost rates, the cost rate in effect on each day of the timecard is used. For example, the rate card linked to a long-running assignment has the following dated resource cost rates:

Assuming that the cost rate is a daily rate, when the resource working on that assignment submits timecards for 2025 their daily cost rate is 60, and for 2026 their daily cost rate is 80. For the week commencing December 29, 2025, the following cost rates apply:

The total cost amount for the timecard split that covers Monday - Wednesday is 3 x 60 = 180.

The total cost amount for the timecard split that covers Thursday - Friday is 2 x 80 = 160.

The total cost amount on the timecard header is 180 + 160 = 340. The cost rate on the timecard header is an average: 340 / 5 = 68.

Using Dated Resource Rates

To use dated resource bill rates with a resource request or assignment, you must select the Use Dated Resource Bill Rates checkbox when creating the record. If you create an assignment from a resource request, the assignment's Use Dated Resource Bill Rates checkbox defaults from the resource request. On saving the resource request or assignment, its Bill Rate Card field is populated automatically with a rate card that matches the relevant criteria. To use dated resource cost rates with a resource request or assignment, you must select the Use Dated Resource Cost Rates checkbox when creating the record. If you create an assignment from a resource request, the assignment's Use Dated Resource Cost Rates checkbox defaults from the resource request. On saving the resource request or assignment, its Cost Rate Card field is populated automatically with a rate card that matches the relevant criteria.

Note:

Dated resource cost rates are currently not supported in PS Cloud Core Analytics.

Once a bill rate card or cost rate card is matched to a resource request or assignment, its dated resource rates are used as follows:

• Dated resource bill rates are used to calculate the Request Billable Amount on resource requests. For more information about how this amount is calculated, seeCalculating a Resource Request's Billable Amount When Dated Rates Are Used.
• Dated resource cost rates are used to calculate the Projected Cost Amount on resource requests. For more information about how this amount is calculated, seeCalculating a Resource Request's Projected Cost Amount When Dated Rates Are Used.
• Dated resource bill rates are used to calculate the EVA scheduled amounts, projected revenue, and planned revenue on assignments. They also populate the bill rates per day on timecards linked to the assignment, which are used to calculate the assignment's EVA actual amounts. • Dated resource cost rates are used to calculate the Projected Cost Amount on assignments, and populate the cost rates per day on timecards linked to the assignment.

Notes:

• If both the Bill Rate Card and Rate Card fields are populated on an assignment or resource request, any bill rate set by the rate card is overridden by the dated resource bill rates on the bill rate card. Similarly, if both the Cost Rate Card and Rate Card fields are populated on an assignment or resource request, any cost rate set by the rate card is overridden by the dated resource cost rates on the cost rate card.
• The currency of dated resource rates must match the currency of the rate card it relates to. If you update the currency of the dated rate card, the related dated resource rates automatically update to the same currency.

Note:

When a resource request uses dated resource cost rates, ranking resources by cost rate during matching provides only an indicative ranking. This ranking evaluates each resource's Default Cost Rate field on the Contact object and excludes dated cost rates. For more information on resource ranking, see Intelligent Staffing Overview.
