Recalculating Resource and Project Actuals

Special Configuration for Encrypted Resource Fields

If your organization uses Shield Platform Encryption, and has encrypted the Contact (Resource) field, your administrator must configure your list views to view the Project Actuals Recalc or Resource Actuals Recalc tabs without errors. An encrypted field added to the first column of the list view will cause an error to display and the page will fail to load.

1. Create a new list view:
   • On Project Actuals Recalc, create a new list view for Project.
   • On Resource Actuals Recalc, create a new list view for Contact.
2. Name the view a value that will sort first in the picklist of views. We suggest a value such as "AAAAA" or "00000".
3. Set the new list view to display a field other than a Resource field as the first column (for example, Account Name). Add other columns as needed. You can add columns with a Resource field in subsequent columns.
4. Save your changes.

Note:

Any list views you retain with a Resource or Contact field in the first column will generate an error when selected.

To recalculate project actuals or resource actuals:

1. Click the Project Actuals Recalc or Resource Actuals Recalc tab.
2. To filter the list of projects or resources on your view, select an item from the View drop-down list.

   You can create your own Project view on the Projects tab and Resource view on the Contacts tab.
3. To select a projectA collection of activities and related items to be managed over a defined time range, such as timecards, expenses, milestones and budgets. or resourceA contact that works on a project., select its checkbox.
4. Click Done.
5. Select the button for the action that you want to carry out on the selected project or resource:
   • Click Lock to lock the actuals.
   • Click Delete to delete the actuals.
   • Click Calculate to re-calculate the actuals.
   • When the calculation is complete, click Unlock to unlock the selected project or resource.
   • Click Cancel to stop the operation.

Your administrator can schedule batch Project Actuals recalculation through the PSA Administration tab.
