What is a Cash Entry?
A cash entry can be one of four types:
- Receipt – a record of money received from a customer.
- Refund – a record of money refunded to a customer.
- Payment – a record of money paid to a vendor.
- Payment Refund – a record of money refunded by a vendor.
These can be in a variety of forms, including cash, check or through some sort of electronic payment system.

Bank or processing charges
If there are any bank or processing charges related to this cash entry, you can record them here. You can record these charges as a one-off charge on the header, individually on the account lines, or both.
If you are recording bank charges related to cash received as a payment from a customer or a refund from a vendor, these reduce the amount deposited in the bank, so you must enter the bank charges as a positive amount.
Conversely, if you are recording bank charges related to cash paid out as a payment to a vendor or a refund to a customer, these increase the amount paid out of the bank, so you must enter the bank charges as a negative amount.
Account information
A single line entry will store the Account on the cash entry header and also on the cash entry line item. A multi-line cash entry will store the Account information on the cash entry line items only.
Intercompany cash entries
You can use an intercompany account on a cash entry. When this cash entry is posted, the application takes the appropriate general ledger account (GLA) from the related intercompany definition. See About Intercompany Payments and Cash Entries for more information.
Cash entry status
Status | Description |
---|---|
In Progress | The document has been saved but has not been posted. You can edit or discard a document that is in progress. |
Complete | The document has been posted. Once a document is complete, you cannot repost or discard it. You can only edit a limited set of fields on a complete document. |
Discarded | The document is no longer required, but evidence needs to be retained. The user must provide a discard reason. This is stored with the record for future reference and auditing. |
