Updating Resource Requests

You can update, reschedule and delete multiple resource requests simultaneously when working with projects and opportunities.

Updating Resource Requests

To update resource requests from projects and opportunities, your administrator must:

  • Add PSA Actions: Resource Requests your default project, project detail, or opportunity record pages.
  • Ensure the Update Resource Requests link is shown in PSA Actions: Resource Requests by enabling the Show Update Resource Requests link.

To update multiple resource requests:

  1. On an opportunity or project record page, click Actions | Resource Requests | Update Resource Requests. The Update Resource Requests window opens. Resource requests with “Draft” and “Canceled” statuses are displayed, but resource requests with the statuses of “Assigned” and “Held” are not.
  2. Click Edit in one of the following fields and make your changes:
    • Resource Request ID
    • Resource Request Name
    • Resource Role
    • Status
    • Milestone
    • Requested Hours
    • Start Date
    • End Date
  3. Remove the value in the Resource Role field that you want to update and select a new role from the list.
  4. [Optional] In the Resource Request Id column, select multiple resource requests that you want to update in the Update Resource Requests window.
    1. Click Edit and update the details of one of the selected resource requests.
    2. Select the Update Selected Items checkbox.
    3. Click Apply. The multiple fields that you have updated are highlighted.
  5. [Optional] Select the resource requests that you want to remove from the project and click Delete.
  6. Review and close any success messages.
  7. Click Close.

Updating Resource Request Skills

To update and manage the resource request skills.

  1. To update the resource skills click | Manage Skills. The Manage Skills window opens.
  2. In the Skills Selection section, select Skill or Certification or Skill Set from the record selector field. By default, the Skill or Certification is selected.
  3. In the Search field, enter at least two characters of the skill or skill set and press Enter.
  4. [Optional] Click Show All Results for " ". The Select Skill or Certification window opens with the searched string in the Search field, and all the related items are displayed in the grid. You can customize the columns in the grid by adding custom field sets to the fields Skills Custom Lookup Columns and Skill Sets Custom Lookup Columns. For more information, see Skills Management Settings.
Note: The search is performed on all the columns available in the grid, providing greater options for searching the skills. The Search Results window shows up to 500 records.
  1. [Optional] Select the skill, certification, or skill set from the grid and click Select. The selected skill or certification or skill set is added to the Search field in the Skills Selection section.
  2. To add the skill, certification, or skill set to the table, click Add.
  3. Click Edit to edit the Minimum Rating.
  4. [Optional] Click Edit to select the skill type as Essential or Desirable in the Required Skill Type column.
  5. Deselect the skills from the skill set table that you don’t require. By default, all the skills in the skill set are selected.
  6. [Optional] Click | Remove Skill to remove the skills and certifications added.
  7. [Optional] Click | Remove Skill Set to remove the skill sets added.
  8. [Optional] Do one of the following:
    • Leave All Skills selected if you want the resource to have all the added skills.
    • Select Any Skill if you want the resource to have any one of the added skills.
  9. [Optional] Do one of the following:
    • Leave All Essential Skills selected if you want the resource to have all the added essential skills.
    • Select Any Essential Skill if you want the resource to have any one of the added essential skills.
  10. Click Save.

The Skills and Certifications column shows the latest updated resource skills and certifications.

Notes:

Your administrator must select Enable Desirable Skills in the Skills Managementcustom setting, to show the Required Skill Type column and mark the skills as essential or desirable.

When editing resource requests, if you click Manage Skills, it prompts you to either continue editing or discard the changes. If you continue editing, the latest changes are visible and if you select to discard the changes, the Manage Skills window opens.

Duplicate skills are not allowed in essential skills and desirable skills. A skill can either be essential or desirable, not both. Also, duplicate skills with different ratings are not allowed in Essential Skills.

Recalculating Resource Request Schedules

Note:

Your administrator can batch submit or schedule the recalculation of all rescheduled resource requests. See PSA Administration.

You can recalculate schedules for related resource requests on a project when project tasks or project task assignments are updated. Estimated hours on the parent project task are equally divided between all resource requests on the project.

Schedules exceeding 24 hours in a day are not updated or rescheduled.

  1. On a Project page, click Resource Requests | Recalculate Resource Request Schedules.
