PSA – Accounting Connector Administration Fields

Here is a description of the fields and buttons available in the PSA – Accounting Connector Administration Lightning component. The component provides an easy way of updating the fields on the PSA – Accounting Connector custom setting.

This component is included in the PSA – Accounting Connector Admin page. For more information, see PSA – Accounting Connector Admin Page. You can also add this component to any Lightning app page.

The following tables are categorized on features, lists, and describe the various custom settings available in the PSA – Accounting Connector Administration page.

Key: * – Mandatory field; E – Only applicable when the integration is running in enhanced mode; L – Only used when the integration is running in legacy mode.

The field used to automatically populate the value of the Company field on billing events, expense reports, and miscellaneous adjustments. This can be the Company field on the Region, Practice, or Group objects.

You can enter one of the following values:

Additional Notification Recipients E

Additional recipients that are notified by email when a background execution of a flow finishes.

The value is a list of email addresses separated by a comma (,).

Notes:
  • Separate emails are sent to all valid addresses defined in this field.
  • The user who started the background execution or scheduled the flow is always notified by a separate email. The value of this field doesn't impact that feature.
 
Copy Analysis 1-4 when Posting  

If selected, when an Accounting document is posted, the Analysis 1-4 fields are automatically copied from the document and its line items to the transaction line items. For more information, see Configuring Dimension and Analysis Fields in PSA – Accounting Connector.

Maximum Billing Event Items per Billing Event  

The maximum number of billing event items that a billing event can contain. This limit is applied when releasing a billing event and creating a sales invoice or credit note from the billing event. If the number of items in a billing event is greater than this number, the billing event cannot be released or passed to Accounting. This field is blank by default. When this is blank, no limits are applied.

Note:

We recommend you set the value to 1000. This is the limit currently supported by PSA – Accounting Connector.

BE Validation Limit for BEAR and BEAI E

The maximum number of selected billing events that are validated after clicking the Release or Release and Invoice actions on the Billing Events Awaiting Release page and the Create Sales Invoices and Credit Notes action on the Billing Events Awaiting Invoicing page. If fewer billing events than the specified number are selected and some of them are not eligible for the action, a warning or an error is displayed. If more billing events are selected, an information message is displayed regardless of eligibility. The default is 200.

Automatically Create Sales Invoices or Sales Credit Notes  

If selected, automatically creates sales invoices or sales credit notes when the criteria are met. Select from the following criteria:

  • Disabled
  • When Billing Event is Released: When you release the eligible billing events, and this option is selected, the sales invoices or credit notes are automatically created.

  • Custom Criteria, if you select Custom Criteria, then you will be allowed to select the Billing Event's field as a custom criteria in the Custom Criteria Field drop-down list.

Custom Criteria Field  

The field name on the Billing Event object used to determine whether a billing event is automatically passed to Accounting as soon as it becomes eligible. This must be a checkbox or a formula checkbox. The default is "Automatically Pass to Accounting". This field is only displayed if you have selected "Custom Criteria" option in the Automatically Create Sales Invoices or Sales Credit Notes drop-down list.

Synchronous Line Limit

The maximum number of billing event items in a billing event that can be processed synchronously. If the number of items in a billing event is greater than this number, the billing event is always processed asynchronously (in the background) when creating a sales invoice or credit note.

This applies when you pass the billing event to Accounting using the Create Sales Invoice or Credit Note Lightning action or using the auto pass functionality. Automatically Post Sales Invoices or Sales Credit Notes  

If selected, when sales invoices or sales credit notes are created from billing events, they are automatically posted in Accounting.

Note:
  • Once the sales invoices or sales credit notes are posted, their status is set to "Complete".
  • When you revert a billing event linked to a sales invoice with the status "Complete", it automatically creates a sales credit note and posts it to cancel the sales invoice. However, if this custom setting is disabled, then the document is not automatically posted; instead, the sales credit note is created with an "In Progress" status.
  • When you revert a billing event linked to a sales credit note with the status "Complete", it automatically creates a sales invoice and posts it to cancel the sales credit note. However, if this custom setting is disabled, then the document is not automatically posted; instead, the sales invoice is created with an "In Progress" status.
