Importing and Exporting Rate Tables

WorkGrid enables you to export, import, and reimport rate tables in Microsoft Excel Spreadsheet (XLSX) format. This section provides information about export and import scenarios.

You can export a rate table as an XLSX file to enable others in your organization to make changes and import the rate table back into WorkGrid. To export and edit a rate table as an XLSX file and reimport it to WorkGrid, the rate table structure in Excel must remain the same as in WorkGrid. Refer to the following criteria when creating your data import spreadsheet:

  • You can add, modify, or delete columns or rows and numeric values.
  • Cell values must be numeric.
  • Ensure all information you want to import is contained in one sheet of the XLSX file.
  • Dimensions must remain the same. You cannot add, modify, or delete them.
  • All dimension value name combinations and column names must be unique.

Exporting Rate Tables

WorkGrid enables you to export a rate table as an XLSX file.

Notes:
  • Only rate table owners and users with permission can edit an exported rate table.
  • Read-only users do not have permission to export rate tables.
  • By default, an exported rate table's file name matches the rate table name.
  • Only the rate table scenario that you are viewing is exported to the XLSX file.
  • All rate table data is contained in one sheet of the XLSX file.

To export a rate table as an XLSX file:

  1. From the Rate Tables tab, navigate to a specific rate table.
  2. From the Rate Table quick actions, click Export as XLSX.

Importing Rate Tables

WorkGrid enables you to import a rate table as an XLSX file.

To import a rate table from an XLSX file:

  1. Open the rate table that you want to import the XLSX file to.
  2. Click Import from XLSX.
  3. Click Upload Files and select the XLSX file that you want to import.

    Tip:

    Alternatively, you can drag the file and drop it into the File area.

  4. If the file contains multiple sheets, select the sheet that you want to import.
  5. If you want to replace the entire rate table with the contents of the file, select Overwrite Existing Cells. Otherwise, leave this deselected.
  6. Click Import.

    Depending on your selection in step 5, the rate table is updated as follows:

    • If you left Overwrite Existing Cells deselected, the following happens:

      • Cells that exist in both the rate table and the sheet are updated with the values from the sheet.
      • Cells that exist in the sheet but not the rate table are created in the rate table.
      • Cells that exist in the rate table but not in the sheet remain unchanged.
    • If you selected Overwrite Existing Cells, the entire rate table is replaced with the information from the sheet.
  7. In the rate table toolbar, click Save.
