Setting up the Actuals Workspace
Installing the Workspace
PSA Workspaces are not currently part of the PSA core product. Contact the Onboarding Team to have the PSA Workspaces package installed in your org.
Complete the following setup for your users to access the Actuals workspace:
-
Assign the PSA - Recalculate Actuals, PSA - Recalculate Project Actuals, and PSA - Recalculate Resource Actuals permission sets to users who require access to the workspace.
-
The workspace links to various parts of the product and is populated by the relevant records. To view the workspace correctly with populated data, you must ensure that your users have the necessary permission sets to access the following objects:
-
Actuals
-
-
Manually add the Actuals Workspace tab to any apps. By adding this tab to the relevant apps, you gain the maximum benefit from the Actuals Workspace, supporting your workflows and reducing the time required to access the information needed for your role.
-
Add the Actuals Workspace tab permission on the profiles that require access to the workspace.
-
Apply the tab permissions on the Feature Console after the package installation is completed.
For more information about editing and assigning permission sets, adding tabs to apps and profiles, sharing reports, and configuring apps, see the Salesforce Help.
Customizing the Actuals Workspace
You can customize your workspace using the Lightning App Builder as follows:
-
Edit the workspace layout to rearrange or swap components on your workspace page.
-
To add the custom alerts and counts on your workspace page, see Customizable Lightning Components Overview in the Foundations Help.
-
Configure the threshold properties on the Actuals Workspace component to control when the Weekly Time Period and Perpetual Time Period highlight cards change color.
-
Configure the properties on the Actuals Workspace component to control when the Transaction Deltas card changes color. For more information, see "Configuring the Time Period Threshold Properties".
Adding the App Logs Grid
To display app logs, use the Lightning App Builder to add the Actuals App Log Grid component to the Actuals Workspace page. If you previously used a standard List View component for App Logs, remove it to ensure a streamlined troubleshooting experience.
For more information about the Salesforce Lightning App Builder, see the Salesforce Help.
Configuring the Time Period Threshold Properties
You can configure the threshold values that drive the colored status indicators on the Weekly Time Period and Perpetual Time Period highlight cards. Setting thresholds that reflect your organization's tolerance for variance helps you and your users identify time periods that need attention as soon as they appear on the workspace.
To configure the threshold properties:
-
In Lightning App Builder, open the Actuals Workspace page.
-
Select the Actuals Workspace page.
-
Edit the Actuals Workspace Lightning page that you want to add the component to.
-
From the custom components list, drag the Weekly Time Period and Perpetual Time Period highlight cards onto the Actuals Workspace Lightning page.
-
In the properties pane, set the threshold values for the Weekly Time Period highlight card. These values determine the bands used to count weekly time periods and the color applied to the card. For more information, see Weekly Time Period Lightning Component Highlight Card Fields.
-
Set the threshold values for the Perpetual Time Period highlight card. These values determine when the card changes color based on the end date of the perpetual time period. For more information, see Perpetual Time Period Lightning Component Highlight Card Fields.
-
Save the page and activate it for the relevant app, profile, or user.
The new threshold values apply the next time you or your users open the Actuals Workspace.
