Actuals Workspace Overview

The Actuals workspace is the central hub for activities relevant to Actuals in PSA.

Note: Workspaces use Lightning Experience to take full advantage of the Lightning App Builder. This means you can customize your user's experience based on their specific requirements. The changes you make are saved in a cloned app. The original app remains unchanged. Depending on your role, you might have more than one workspace. When multiple workspaces are required for a role, a workspace is scoped for a specific set of functional activities.

The Actuals workspace contains the following components:

Global Navigation

The Administrator Tasks link opens relevant administrator setup pages. The Help and Knowledge links open the relevant Certinia Help pages.

Cards

Cards highlight important details about your unprocessed transaction deltas, weekly, and perpetual time periods, the status of the actuals recalculation process, and locked actuals. To display a list of detailed records specific to each alert, click View Details.

Actuals Card

The following alerts cards and highlight cards are available from the Actuals workspace.

Name	Description	View Details
Transaction Deltas	The Transaction Deltas card provides information on unprocessed transaction deltas with timestamps before the current date. Use this card to see the transaction status at a glance. When the number of unprocessed transaction deltas exceeds 400, the card turns red to highlight critical issues.	Displays a list view of your unprocessed transaction deltas with a timestamp older than today.
Weekly Time Period	The Weekly Time Period card displays the count of weekly time periods that fall within each configured threshold, so you can see at a glance how your weekly time periods are distributed. The card replaces the previous App Logs card. Your administrator configures the threshold values on the Actuals Workspace component in Lightning App Builder.	Displays a list view of the weekly time periods that match the selected threshold.
Perpetual Time Period	The Perpetual Time Period card displays the end date of the perpetual time period. You can configure the threshold values that drive the colored status indicators on the Actuals Workspace component in Lightning App Builder.	The following fields are displayed:
Recalculation Status	The Recalculation Status card shows whether the actuals recalculation process is in progress or idle.	Displays the current status of the actuals recalculation process.
Actuals Lock Status	The Actuals Lock Status card indicates how each period was locked, such as via the scheduled job or the Actuals Verifier. This detail tells you why a period is locked without you needing to investigate audit trails.	Displays a list of locked actuals and the source of each lock.

Actuals App Logs

The Actuals Workspace page displays the Actuals App Logs related to Actuals in a new, dedicated data grid that replaces the standard list view. This enables you to debug errors efficiently. Additionally, from the workspace, you can check the current Actuals recalculation and lock statuses directly from the alert cards.

From the Actuals App Logs table, you can:

Search for specific app logs based on criteria such as Entry ID, Category, Origin, and so on to quickly locate exact records.
Filter records in the data grid based on a date range and app log level to quickly narrow down and find the desired logs.
Refresh the grid using a toolbar button to instantly retrieve the most up-to-date log records.
View clear status and error messages, including a "no data" state for empty grids, prompts for invalid filters, and non-disruptive alerts for data loading issues that preserve your visible records.
Retain your filter preferences automatically, ensuring your customized view remains even after you refresh the browser page.
Displays the most relevant data, as the grid automatically displays records from the past 24 hours.
Check the current Actuals recalculation and lock statuses directly from the alert cards.
Scroll through large volumes of log records smoothly and without performance issues, as the data is dynamically loaded in chunks.
