Managing a Statistical Basis

The Statistical Bases home and list pages enable you to create new statistical bases and manage existing ones.

Tip:

We recommend that you maximize the Statistical Basis page, as this makes it easier to see all the details.

Creating a Statistical Basis

To create a new statistical basis:

  1. Click the Statistical Bases tab.
  2. Click New on the Statistical Bases home page.
  3. Enter a unique name, such as "US Headcount".
  4. [Optional] Enter a description.
  5. Select a unit of measure from the picklist or type in the unit of measure you want to use.
  6. Enter the date the set of statistical values was created. This date is for your reference only, as allocations always use the latest version of a statistical basis.
  7. [Optional] Select a company and period. If this is a single company allocation you can enter the company details either here at header level or in the Company column on each line in the grid. If this is a cross-company allocation you can only enter the company details using the Company column on each line in the grid. You cannot enter the company details at both header and line level.
  8. You must enter a value in at least one of the General Ledger Account or Dimension columns. The General Ledger Account column is hidden by default. To view it, click the down arrow in a dimension column heading and select Columns. You can then select the relevant column name.
  9. [Optional] Select a general ledger accountClosed The general ledger will normally include general ledger accounts (GLAs) for items such as income, expenses, assets, liabilities, and reserves. from the list.

    Note:

    Local GLAs are not supported in statistical bases.

  10. [Optional] Click the down arrow in the Dimension 1 column heading and select Populate All to auto populate the grid with all the dimension 1 values in your org. This option is also available for dimensions 2-4.
  11. Enter a value on each row.
  12. [Optional] Click to remove a row from the grid.
  13. Click Save.
Tip:

To sort the contents of a column in the grid, click on the column heading to switch between an ascending and a descending sort order on that column.

Editing a Statistical Basis

To edit a statistical basis:

  1. Click the Statistical Bases tab.
  2. From the list view, click the statistical basis you want to edit. The Statistical Basis page is displayed.
  3. Click Edit.
  4. Make the changes as required.
  5. [Optional] Click to delete a row from the grid.
  6. Click Save.

The original details before editing are saved as a separate row in the Versions grid and the new details become the most recent version that is used in any subsequent allocations. Allocations always use the most recent version of a statistical basis.

Viewing a Statistical Basis

To view an existing statistical basis:

  1. Click the Statistical Bases tab.
  2. From the list view, click the statistical basis you want to view. The Statistical Basis page is displayed.
  3. [Optional] Type in the Search field to find an entry in the grid and scroll down to view all the rows.

Viewing the Previous Version of a Statistical Basis

If you edit a statistical basis and then save your changes, the original details are saved in the Versions grid for reference and the new details become the most recent version that is used in any subsequent allocations.

To view the details of a previous version:

  1. Click the Statistical Bases tab.
  2. From the list view, click the statistical basis you want to view. The Statistical Basis page is displayed.
  3. In the Versions section, click the version number you want to view. The details of that version are displayed on the Statistical Basis page and the version number is shown at the top of the page. This allows you to see what changes have been made to a statistical basis in the past.
  4. [Optional] Type in the Search field to find an entry in the Statistical Basis grid and scroll down to view all the rows.
  5. Click Most Recent Version to return to the statistical basis that is currently being used for allocations.

Importing Statistical Values

To import statistical values in bulk from a comma-separated value (CSV) file and save them as a statistical basis:

  1. Click the Statistical Bases tab.
  2. Click New on the Statistical Bases home page.
  3. Enter the header details as described in Creating a Statistical Basis.
  4. Click Import CSV.
  5. Open the CSV file. The statistical values are displayed in the Statistical Basis grid.
  6. Click Save.
Warning:

To import statistical values in bulk, you must click Import CSV on the Statistical Basis page. If you use the data loader or if you perform more than one Data Manipulation Language (DML) call or more than one API call per database operation, versions will not be saved or updated correctly.

Formatting the CSV File

The header line in the CSV file must contain the FieldAPIName with a namespace prefix, such as c2g_Dimension1__c.

You can add the following fields to the header line:

  • Company (optional)
  • General Ledger Account*
  • Dimension 1*
  • Dimension 2*
  • Dimension 3*
  • Dimension 4*
  • Value

* The header line must contain at least one GLA or dimension.

The CSV file must also conform to the following rules for the statistical values to be imported successfully:

  • The file must have a CSV or TXT file extension.
  • The header line in the CSV file must contain the FieldAPIName with namespace prefix of the fields you want to use for your statistical values.
  • In the detail lines, you must use IDs and not names for GLAs, dimensions and companies. The IDs must contain 18 digits.
  • The IDs for GLAs, dimensions and companies must match the IDs used in your org.
  • The count of comma separated values on any particular line must match the count of comma separated fields in the file header.
  • Only use a decimal point as a separator in the Value column. Other separators are not valid.
  • A maximum of nine digits with nine decimal places is allowed in the Value column.
  • The file must contain all the lines you want to have on this particular version of the statistical basis, and not just the lines you are changing, adding or removing.

If the CSV file contains invalid details, an error message shows which lines are invalid. If there are more than 10 errors in the CSV file, you will receive an email containing details of all the errors.

Attaching Files to a Statistical Basis

To attach a file to a statistical basis:

  1. Click the Statistical Bases tab.
  2. From the list view, click the statistical basis. The Statistical Basis page is displayed.
  3. Click Open.
  4. Click Add Attachment. The Attach File page is displayed.
  5. Click Choose file and open the file you want to attach.
  6. Click Attach File.
  7. Click Done. The file is attached to the statistical basis.

You can attach up to 25 MB.

To remove files that have been attached to a statistical basis:

  1. On the Statistical Basis page, click Open.
  2. Click next to the file you want to remove.
  3. Click Close.
