How Sales Invoices Are Posted
The Post button on the sales invoice detail page allows you to post a single "In Progress" sales invoice. In Classic Edition The view of the application that you see when you first install the base managed package., the Save & Post button first saves the document then posts it in the same way as if you had clicked the Save and Post buttons separately.
You can also post multiple sales invoices from the list page. For more information, see Posting Sales Invoices.
Background Posting
In some situations, the posting isn't immediate. The document is set to "Ready to Post" and it is batched up for posting by a scheduled job. A "Ready to Post" document cannot be amended, discarded, printed, or manually posted.
For more information about:
- Setting up the scheduled job, see Setting up the Background Posting Scheduler.
- Posting documents asynchronously using Background Posting Scheduler, see About the Background Posting Scheduler.
Sales invoices are batched up for posting by a scheduled job in the following situations:
- When the sales invoice has an income schedule attached.
- When the sales invoice exceeds the lines threshold set for sales invoices in the Accounting Settings custom setting.
- When the sales invoice has its tax value calculated by AvaTax.
- When you post sales invoices from a list view.
- When you create recurring invoices using Extended Edition The view of the application that you see when you install one of the extension packages (such as the Cash Entry Extension package). For invoices, credit notes, and journals Extended Edition is integrated into the main package, but must be configured. and you click the Save & Post button.
Standard Posting
When a sales invoice is posted, two or more transaction line items are posted to your document company's general ledger and the sales invoice is assigned a transaction number. The sum of these transaction line items is zero in document, home and dual currency.
The discounts are calculated in both account and document currency using the document date and the credit terms Set of terms used to determine due dates and discounts for the goods and services bought or sold. Terms can be set at account level for vendors and/or company level for customers. of the document company. However, if a customer account has its own credit terms, then these take precedence. The discount dates and amounts are stored on the transaction for use in cash matching and when printing the document.
A fully posted sales invoice is "Complete" and can no longer be discarded.
Income Schedules
If the invoice is associated with one or more income schedules, the invoice's status becomes "Ready to Post" and it is batched up for posting by a scheduled job.
During the posting process a series of income schedule journals are created and posted for each sales invoice line item. You are notified of the success or failure of this operation.
If the process succeeds, the notification message will contain a link to the related sales invoice line item.
If there are any failures in the process, the notification message will contain a link so that you can review the cause of the failure.
QR Code for Swiss Companies
Swiss companies benefit from the addition of a QR code which is added to the PDF document. After generating, the QR code is saved in Related | Notes & Attachments. For more information, see Sales Invoice Fields.
