Work Planner Lightning Component Fields

The following Work Planner Lightning components include the fields and buttons described:

  • Line Manager Work Planner
  • Project Manager Work Planner
  • Resource Work Planner
  • Work Planner on a project record (referred to as Record Work Planner)
  • Work Planner (on the Work Planner Lightning page provided by Certinia or added to a custom Lightning page by your administrator)
  • Work Planner in Experience Cloud sites.

For all the lookup fields, you can also click Show All Results for " ". The search lookup window opens with the searched string populated in the Search field and displays all related items in the grid.

Select the item from the grid that you want and click Select. The selected item is then displayed in the lookup field. For more information, see Using Advanced Lookup.

Notes:
  • If Shield Platform Encryption is enabled in your org, the records in the Resource, Account, and Opportunity search lookup window are filtered using only the Name field in the grid.
  • If any region, practice, or group is marked as Inactive, these regions, practices, and groups are excluded from and are not displayed in the search results. You can only select RPGs from the dropdown that are active.

Fields

The following table describes the fields in the Work Planner component.

Fields in the Work Planner Component
Field   Description
Availability S, A

The percentage availability of the resource between the start and end date of the planned work, and is calculated using the following formula:

(1 - (Assigned Hours/Work Calendar Hours)) * 100

The assigned hours in the calculation includes hours from assignments and held resource request schedules.

The calculation uses the dates in the Filters panel but is entirely forward looking. If the start date is in the past, the start date for the calculation is from today. If both the start and end date are in the past, the calculation does not work.

To calculate the resource availability for this field, you must do the following:

  1. Select the Use Utilization Engine field in the Utilization custom setting.
  2. Run the Utilization Engine batch process once from the PSA Administration Lightning page.

End Date A The end date of the associated assignment or resource request. You can edit the values shown in this column by double-clicking a value and updating the end date.
Name S, A

The name of the resource, project, region, practice, or group, depending on the grouping option selected from the toolbar.

When grouping by region, practice, or group, PSA displays the relevant RPGClosed Abbreviation of region, practice, group. name and uses the following criteria in the order shown to determine an assignment or resource request record's RPG:

  1. The RPG set on the relevant resource.
  2. The RPG set on the resource request, for resource request records.
  3. The RPG set on the associated project.

If there is no RPG set on any of the above, a grouping called No Region, No Practice, or No Group is displayed in this column as appropriate.

Project A The project associated with the assignment or resource request. Displayed when grouping by resource.
Resource A The name of the resource on the associated assignment or resource request. Displayed when grouping by project.
Start Date A The start date of the associated assignment or resource request. You can edit the values shown in this column by double-clicking a value and updating the start date.
Total Hrs A

The total number of hours on the schedule for the associated assignment or resource request. This column is automatically updated whenever you edit a value in the Allocation view, or when the relevant schedule records are changed. Also displayed in the Current Scheduled Hours field when hovering over an assignment or resource request in the Name column.

Note:

This value reflects the total scheduled hours for the associated assignment or resource request across the entire schedule, not just the days specified in the filter criteria.

Buttons

The following table describes the buttons in the Work Planner component.

Reload Reloads the relevant Work Planner component. This is useful if, for example, assignments or resource requests are created after you loaded the page, or if you have made a change in a different tab. If you have not yet saved changes you have made, this button enables you to return to the last saved state. Not applicable
Today Displays the current day on the timeline and maintains the current zoom level. Not applicable
Change View or Change View

Displays the following views:

  • Scheduler: Shows assignments and resource requests grouped by RPG, project, or resource over time.
  • Allocation: Lists the resource requests and assignments within the same date range, grouped by RPG, project, or resource. Shows the number of hours a resource is scheduled to work on the corresponding assignments or resource requests and indicates if a resource is correctly allocated, over allocated, or under allocated.
Allocation
Resource, Project, Region, Practice, or Group

Groups the data displayed:

  • Resource: Displays all resources with related assignments or resource requests grouped underneath. You can expand each resource to view details of the related assignments and resource requests. For unheld resource requests, you can expand the Resource Requests row to view details of the required roles.
  • Project: Displays all projects with related assignments or resource requests grouped underneath. You can expand each project to view details of its related resources, assignments, and resource requests.
  • Region: Displays all regions with related assignments or resource requests grouped underneath. You can expand each region to view details of its related resources, assignments, and resource requests.
  • Practice: Displays all practices with related assignments or resource requests grouped underneath. You can expand each practice to view details of its related resources, assignments, and resource requests.
  • Group: Displays all groups with related assignments or resource requests underneath. You can expand each group to view details of its related resources, assignments, and resource requests.
Note:

The Resource and Project buttons display the fields added in the Resource and Project Custom Column Field Sets in addition to the default fields. However, the Region, Practice, and Group buttons display only the default fields.

Line Manager Work Planner and Work Planner for resource managers default to Resource.

Project Manager Work Planner and Resource Work Planner default to Project.

Zoom Level

Changes the view between days, weeks, months, quarters, and years.

Notes:
  • On the Allocation view, you can only edit the hourly values when using the Days, Weeks, and Months zoom levels.
  • The zoom level you set is retained if you use the same browser on the same device.
  • If you open the Allocation view after the Scheduler view, the zoom level is retained.
Weeks
Record Details

Shows details of the selected assignment, project, resource, or resource request on the relevant tab of the Record Details panel.

The panel stays open until you close it and is also used to display filter criteria. This means you can set filters easily and click through other records on the work planner to quickly view information about them.

Filters

Filters the display. Click Filters to open and close the panel.

The panel stays open until you close it. It is also used to display assignment details, project details, resource details, and resource request details. This means you can set filters easily and click through other items on the work planner to quickly view information about them.

Selected filters are retained if you use the same browser on the same device.

Line Manager Work Planner filters default to:

  • The resource associated with your Salesforce user.
  • Resources with your name in the Reports To field on their contact record.

Project Manager Work Planner filters default to:

  • Any projects where the current user is set as the project manager.
  • Any projects the current user is assigned to.
  • Any projects where the current user is a held resource.

Resource Work Planner filters default to the resource associated with your Salesforce user.

The Work Planner for resource managers does not have any default filters.

Open the Preferences panel

Enables you to set preferences for the information displayed in the work planner, and how the information is displayed.

Expand Expands the work planner for full view. Click Contract to return it to its original size. Not applicable
View Details Opens the Record Details panel and displays the selected record. This action is displayed when you right-click an assignment from the Allocation view or the Scheduler view. For more information, see Using Work Planners. Not applicable
Load More Displays records incrementally in the Allocation view and appears when additional records are to be displayed in the Work Planner. It is visible until the maximum record display limit is reached. For more information, see Using Work Planners. Not applicable
Clone Assignment

Splits the selected assignment to a new assignment. This action is displayed when you right-click an assignment from the Allocation view or the Scheduler view. For more information, see Splitting to a New Assignment.

Swap Resource

Swaps an existing resource with a new resource for the selected assignment or resource request. This action is displayed when you right-click an assignment or resource request from the Allocation view or the Scheduler view. View Suggested Adjustments Record Work Planner Opens the Suggested Adjustments window, which enables you to view and provisionally apply suggested adjustments to future project hours to the Record Work Planner so that they match each resource's current capacity run rate.

Filter Fields

The filter panel contains the following fields.

Group  

Search for and select one or more groups to view.

This field is not available in the Record Work Planner.

Hide Zero Hour Commitments   Assignments or resource requests containing zero hours are not displayed.
Practice  

Search for and select one or more practices to view.

Note:

This field is not available in the Record Work Planner.

Project  

Search for and select one or more projects to view.

This field is not available in the Record Work Planner.

Region  

Search for and select one or more regions to view.

Note:

This field is not available in the Record Work Planner.

Resource  

Search for and select one or more resources to view.

Note:

This field is not available in the Record Work Planner.

Saved Filters   Select from the saved filter sets that you have previously created.
Show Other Work  

If selected, displays:

  • All assignments and resource requests assigned to resources for the current project.
  • All assignments and resource requests assigned to resources on other projects that overlap with the current project's start and end dates.

If deselected, displays all assignments and held resource requests assigned to resources for the current project.

Note:

This field is only available in the Record Work Planner.

Exclude Shortlists  

If selected, the Shortlists section is hidden for resources in the Allocation view, when grouped by resource.

Deselected by default.

Start Date * The start date for data displayed in the relevant work planner component. The default date range is starting 7 days earlier and ending 28 days later than today.

Skills and Certifications Section Fields

The following fields are available in the Skills and Certifications section.

Returns resources that match all of the selected skills at the minimum rating specified.

All Essential Skills

Returns resources that match all the selected essential skills at the minimum rating specified.

Notes:
  • You must have more than one essential skill to see this field.
  • Contact your administrator if you cannot see this field despite having more than one essential skill.
Any Skill

Returns resources that match at least one of the selected at the minimum rating specified.

Any Essential Skill

Returns resources that match at least one of the selected essential skills at the minimum rating specified.

Notes:
  • You must have more than one essential skill to see this field.
  • Contact your administrator if you cannot see this field despite having more than one essential skill.
Include Expired Skills and Certifications

If selected, a resource's skills or certifications that expire before the date in the End Date field are included when searching for resources. This defaults to the value of the Exclude Expired Skills and Certs field in the Resource Search Service custom setting. This means:

  • If Exclude Expired Skills and Certs is selected, Include Expired Skills and Certifications is automatically deselected.
  • If Exclude Expired Skills and Certs is deselected, Include Expired Skills and Certifications is automatically selected.
Include Aspirational Skills and Certifications

If selected, a resource's aspirational skills and certifications are included when matching resources. This defaults to the value of the Exclude Aspirational Skills and Certs field in the Resource Search Service. This means:

  • If Exclude Aspirational Skills and Certs is selected, Include Skills and Certifications is automatically deselected.
  • If Exclude Aspirational Skills and Certs is deselected, Include Skills and Certifications is automatically selected.
Approval Status

The approval statuses that skill or certification ratings must have to be included in the resource matching process. This defaults to the value of the Skill or Cert Rating: Required Statuses field in the Resource Search Service custom setting.

Edit Skills and Certifications Fields

The following fields are available in the Edit Skills and Certifications window.

Skill or Certification

Filter by the skill or certification that you select. Enter one or more characters in this field. The search is not case sensitive and the characters can appear anywhere in the search results. For example, if you enter ex, you obtain the following results:

  • Apex
  • ExtJS
Skill Set Filter by the skill set that you select. Enter one or more characters in this field. The search is not case sensitive and the characters can appear anywhere in the search results.

Filter Buttons

The filter panel contains the following buttons.

Apply Updates the contents of the work planner using the filter criteria specified.  
Clear Clears the filter criteria values, with the exception of Start Date and End Date, as they are required fields. Also clears all data from the work planner.  
Reset Returns the filter criteria to the default values.  
Filter set controls

Enables you to create filter sets and manage them. The following options are available:

  • Delete - Delete a saved filter set.
  • Edit - Edit the properties of a saved filter set.
  • Save as Default - Set the default filter set.
  • Remove Default - Remove the default setting from a saved filter set.
  • Sharing Settings - Choose between public and private sharing settings for the filter set.
  • Save - Save changes made to the selected filter set.
  • Save As - Save the current filter criteria as a new filter set.
 
Match Project Dates

Updates the Start Date and End Date fields in the filter to match the project's start and end dates.

This button is only available in the Record Work Planner.

 
Edit Opens the Edit Skills and Certifications window to apply skills and certifications to filter resources by.  
Note:

The Apply, Clear, and Reset buttons are available relevant to the actions that you take in the Filters panel.

Preferences Fields

The Work Planner tab of the Preferences panel contains the following fields.

Planned Allocation Range The optimal percentage range of time that a resource is allocated.
Under Allocation - Less Than Resources with an allocation less than this percentage value are under allocated.
Over Allocation - Greater Than Resources with an allocation greater than this percentage value are over allocated.
Use Cell Shading When selected, the cells in the Allocation view are colored instead of using the graphics to indicate each resource's allocation status.
Use Utilization Target

When selected, each resource's utilization target is used with the allocation percentages to calculate the resource's allocation status.

Show Totals as Percentages

When selected, top-level totals representing schedules for groups of resource requests and assignments in the Allocation view are shown as percentages.

Notes:
  • Top-level totals can only be displayed as percentages when records are grouped by Resource. When grouped by Region, Practice, Group, or Project, values are displayed in hours, even when Show Totals as Percentages is selected.
  • When a resource is over allocated, values displayed are greater than 100%.
  • When there are hours in a cell but zero work calendar hours, values are displayed in hours rather than percentages.
  • If the Use Utilization Target checkbox is also selected, the percentages are calculated relative to the utilization target value. For more information, see Allocation Thresholds Including the Utilization Target.
Show Expanded Rows as Percentages

When selected, the schedule values for individual resource requests and assignments in the Allocation view are shown as percentages.

Calculation: (Scheduled Hours / Work Calendar Hours) x 100

Notes:
  • When a resource is over allocated, values displayed are greater than 100%.
  • When there are hours in a cell but zero work calendar hours, values are displayed in hours rather than percentages.
  • If the Use Utilization Target checkbox is also selected, the percentages are calculated relative to the utilization target value. For more information, see Allocation Thresholds Including the Utilization Target.

The Suggested Adjustments tab of the Preferences panel contains the following fields.

The Suggested Adjustments tab is only displayed in the Preferences panel of the Record Work Planner when the Smart Rescheduling property is selected in PSA Work Planner in the Lightning App Builder. For more information, see Setting Up Smart Rescheduling.

Field Description
EvA Historical Variance Time Range Indicates the historical period of time for which the actual hours are used to calculate the predicted hours variance for the project. The selected value updates the percentage value in the predicted project hours variance notification on the Work Planner and various values in the Suggested Adjustments window. The default value is "Whole Assignment History".

Preferences Buttons

The Preferences panel contains the following buttons.
