Work Planner Quick Reference
This information explains the different areas of the Work Planner page, and highlights key actions that you can perform in them. For detailed information about Work Planner, see Using Work Planners.
On the Work Planner page, a vertical splitter bar divides the component into two panes. The area to the left of the splitter bar is the grid. The area to the right of the splitter bar displays either the Allocation view, or the Scheduler view. Switch between the Allocation and Scheduler views by toggling between
and
.
Working in the Grid
In the grid, you can use drag-and-drop to reorder columns. For columns that allow sorting, you can click the column header to sort that column in ascending order and click it again to sort it in descending order.
Right-click any column header to show a menu with the following options:
- Columns: Manage the visibility of all the grid's columns.
- Hide column: Hide the current column.
The following right-click options are also available for columns that allow sorting:
- Sort ascending: Sort the current column in ascending order.
- Sort descending: Sort the current column in descending order.
- Multi sort: Add an ascending or descending sorter to the current column by clicking Add ascending sorter or Add descending sorter. When you add a second sorter to another column, records with the same value in the first column are then sorted by the second column. Click Change to descending or Change to ascending to change a sorter's order. To remove a sorter, click Remove sorter.
The following icons are used to indicate the different types of records being displayed:
Assignment
Unheld resource request
Held resource request
Shortlist item
Using the Allocation View
The Allocation view resembles a spreadsheet with rows, columns, and cells. The number of columns displayed depends on the zoom level (Days, Weeks, Months, Quarters, or Years).
Each cell shows the number of scheduled hours a resource is due to work on the corresponding assignment or resource request.
The following visual indicators are used in cells:

Cells shaded gray indicate:
- A resource's non-working time and holidays, using the resource's associated work calendar.
- Dates that fall outside of the start and end dates of the assignment or resource request record.

indicates that the resource is over allocated within the time period. -
indicates that the resource is scheduled to work the planned number of hours in the time period. -
indicates that the resource is under allocated within the time period. -
indicates a company holiday. - Italics indicate resource request values that were calculated using a schedule that PSA has generated.
If types of work colors are used, a color indicator might be displayed at the start of a row to indicate the type of work that the assignment or resource request represents.
Actions you can perform in the Allocation view:
- When the zoom level is Days, Weeks, or Months, double-click a cell to edit its value.
- Drag the corner of a cell, or range of cells, to copy the value to adjacent cells.
- Double-click a row to open the Record Details panel.
Using the Scheduler View
The Scheduler view displays horizontal bars representing assignments and resource requests. The following colors are used for bars:
- Gray: Summary bar
- Orange: Unheld resource request
- Blue: Held resource request
- Green: Assignment
- Purple: Shortlist Items
If types of work colors are used, a color indicator might be displayed at the start of a row to indicate the type of work that the assignment or resource request represents. The bar on a row also takes the type of work color rather than the default color listed above.
Actions you can perform in the Scheduler view:
- Drag a bar forward or backward to change its start and end dates.
- Drag the start or end of a bar to change its start date or end date.
- Double-click a row, or its bar, to open the Record Details panel.
Right-Click Actions
Right-click a row to display a list of actions available for the assignment or resource request. The actions include:
- For assignments: Clone Assignment, Reallocate, Scroll to End Date, Scroll to Start Date, Split to New Assignment, Split to New Resource Request, Swap Resource, Unassign, View Details
- For held resource requests: Assign, Clone Resource Request, Reallocate, Scroll to End Date, Scroll to Start Date, Swap Resource, Split to New Held Resource Request, Unhold, View Details
- For shortlist items: Assign, Hold, Reallocate, Scroll to End Date, Scroll to Start Date, View Details
- For unheld resource requests: Clone Resource Request, View Details
