Search Resources Fields

Here is a description of the fields on the Search Resources page.

Note:

Some of these fields might not be visible or editable at all times, or in all package combinations.

Resource Request Details

Note:

Available when accessing search from the Resource Request detail page.

Key: R – Read-only

Field   Description
Opportunity R Opportunity to which the resource request relates.
Project R Project to which the resource request relates.
Requested Bill Rate R Bill rate that has been requested.
Requested Hours R Number of hours that have been requested.
Resource Request Name R Unique name of the resource requestClosed A means of asking for resources for a project or an opportunity..
Status R Status of the resource request

Search Resources

You can use the sections and fields listed below in conjunction with the Search button to search for resources.

Address Details

Note:

Available when accessing search from the PSA Links section of the Home page sidebar or the Search Resources tab.

Field   Description
Street   Street line of the workplace address of the resource.
City   Work city line of the workplace address of the resource.
State/Province   State or province line of the workplace address of the resource.
Country   Work country line of the workplace address of the resource.
Zip/Postal Code   Zip or postal code line of the workplace address of the resource.

Search Resources

Field   Description
End Date   Date on which you want the assignment to finish.
Name   Name of the resourceClosed A contact that works on a project. to search for. Available when accessing search from the Resource Request detail page.
Resource Request   Lookup to the resource request for which resources are required. Available when accessing search from the PSA Links section of the Home page sidebar or the Search Resources tab.
Resource Request ID R Displays the unique ID of the resource requestClosed A means of asking for resources for a project or an opportunity.. Only displayed when accessing search from the Resource Request detail page.
Start Date   Date on which you want the assignmentClosed Connection between a resource and a project. to begin.

Roles

The fields displayed are determined by the fields that your administrator has chosen. See SearchResourcesFilterFields.

To select multiple roles, hold down the CTRL key and click the relevant roles.

Skills

The fields displayed are determined by the fields that your administrator has chosen. See SearchResourcesFilterFields.

Skills enable you to narrow the search results. To add skills, click Add More, Select the checkboxes of the skills you want and click Add. You can also choose the skill level.

Note:

When searching using more than one resource, you can choose whether the resources must have all the skills you select or one of them using the AND/OR drop-down list. The default value of the AND/OR drop-down list depends on the value set in the New Staffing UI Personal custom setting. See Search Resources Settings.

Certifications

The fields displayed are determined by the fields that your administrator has chosen. See SearchResourcesFilterFields.

Certifications enable you to narrow the search results. To add certifications, click Add More, select the checkboxes of the certifications you want and click Add.

Note:

When searching using more than one certification, you can choose whether the resources must have all the certifications you select or one of them using the AND/OR drop-down list. The default value of the AND/OR drop-down list depends on the value set in the New Staffing UI Personal custom setting. See Search Resources Settings.

Attributes

Field   Description
Worked w/ Customer   Indicates whether to filter resources based on whether they have worked with the customer.
Availability   Indicates whether to narrow the search results based on whether resources have assignments.
Internal   Indicates whether to narrow the search results based on whether resources are internal or external.
Distance   Indicates whether to narrow the search results based on the distance between the resource's location and the Work Address on the resource request.
Distance Unit   Unit to use for the Distance field

Buttons, Links and Controls

Button/Link/Control Description
Add More Displays a popup where you can select skills or certifications to narrow the search results on.
Assign Displays the Assign Resource popup where you can select the schedule details for the resource before creating the assignmentClosed Connection between a resource and a project..
C & Qs Displays the Skills and Certifications popup where you can view the skills and certifications that the resource has.
Close Closes the resource search extension and displays the resource request that the resource request search extension was launched from.
Email Displays a popup where you can send a plain text email to the resource.
Hold Displays the Hold Resource popup where you can hold the selected resource. When a resource is held, a schedule is created but an assignment is not generated.
Past Jobs Displays the Past Jobs popup where you can view a list of previous assignments for the resource.
Refresh Refreshes the search results.
Search Searches for resources based on the criteria selected in the Search Resources section.
Show on Map If your administrator granted access to third party web sites while installing the Resource Search extension, displays the location of the resource request on a map.
Note:

To display the location of a resource request on the map, you must also complete the work address fields on that resource request.

Show Results on Map If your administrator granted access to third party web sites while installing the Resource Search extension, displays the location of the resources on a map.
Note:

Resources only appear on the map when they are listed in the search results and the mailing address fields are completed on the resource's contact record. Additionally, resources might not be displayed on the map if the Number of Pushpins field in the New Staffing UI Personal custom setting is set to a value lower than the number of results listed.

Sort Drop-Down List Allows you to sort the search results based on:
  • Cost
  • Distance
  • Availability
  • Whether the resource is Internal or External

Assign Resource Popup

Field   Description
Scheduling Strategy   Scheduling strategy for the resource. See Scheduling Strategy.
Start/End Date R The start and end dates for the assignment based on the start and end date in the Search Resources section and the selected scheduling strategy.

Buttons

Button Description
Assign Creates an assignment for the selected resource using the chosen Scheduling Strategy and start and end dates.
Close Closes the Assign resource popup.

Hold Resource Popup

Field   Description
Scheduling Strategy   Scheduling strategy for the resource. See Scheduling Strategy.
Start/End Date R The start and end dates for the schedule based on the start and end date in the Search Resources section and the selected scheduling strategy.

Buttons

Button Description
Hold Creates a schedule for the selected resource using the chosen Scheduling Strategy and start and end dates.
Close Closes the Hold resource popup.

Scheduling Strategy

You can use the following available scheduling strategies depending on the options your administrator has set.

Key:

  • N = Strategy not supported in the Schedule Strategy field of the Reschedule section when you click Edit Schedule on the Assignment page to update an assignment schedule.
Scheduling Strategy

Key

Description Usage
Adjust Hours Per Day Calculates the hours per day based on the assignment start and end dates and the scheduled Hours. For resource requests, calculates the hours per day based on the requested start and end dates and requested hours on the resource request. Scheduled Hours are distributed evenly between the start and end dates for the resource's working days based on the resource's work calendar. Consequently, the hours per day might not match the resource's work calendar.

If the Adjust Hours Strategy Respects Holidays custom setting in the Assignment settings is set, the schedule respects holidays and schedule exceptions are created for them. Hours are spread across other days. For more information, see Schedule Exceptions Overview.
Calculate End Date, Ignore Availability   Calculates the end date ignoring the resourceClosed A contact that works on a project. 's other assignments.
Note: The end date is changed automatically if the scheduled hours do not fit within the resource's work calendar.
A resource's work calendar is set to 8 hours per working day:
  • The resource is not available on 12/23/2011
  • The start date for the assignment is 12/21/2011
  • The end date of the assignment is 12/23/2011
Note: If you enter 17 Scheduled Hours and click Update Schedule, the End Date shown in the Schedule details section is shown in black because the resource's unavailability on 12/23/2011 is ignored.
Calculate End Date, Level Schedule   Calculates the end date for the assignment respecting the resource's other assignments and holidays on their work calendar. The end date on the Schedule Details is calculated automatically.
Note: The end date is changed to show the date on which the Scheduled Hours will be achieved.
A resource's work calendar is set to 8 hours per working day:
  • The resource is not available on 12/23/2011
  • The start date for the assignment is 12/21/2011
  • The end date of the assignment is 12/23/2011
Note: If you enter 17 Scheduled Hours and click Update Schedule, the End Date shown in the Schedule details section is shown in red because the Scheduled Hours cannot be achieved without moving the end date of the assignment.
Custom N Calculates the end date based on hours you enter in the Day fields. For a resource working on an assignment for four days a week, enter hours in the Day fields for four days only. The end date is based on the four days, respecting public holidays, but excluding weekends.
Percent Allocation

Calculates the hours per day based on the percentage allocation for the assignment duration. You can enter a value between 0-100. The default value is 100. In the Assign Resource section on the Resource Request page, you can specify percentage allocation values for different date ranges within the assignment duration.

Note: You cannot use date ranges that overlap.

Date ranges are not supported in the Assign Resource to Project Lightning window. Enter a value between 0-100 for the whole assignment duration. This sets the default value in the Percent Allocated field on the Assignment that is created.

You can add several date range lines and specify a different percentage allocation on each date range. We do not support differing percent allocations across different date ranges in Lightning. When you create an assignment or update the scheduling strategy on an assignment using this strategy, schedule exceptions are created based on the date ranges and percent allocation that you enter. For more information, see Schedule Exceptions Overview.
Zero Hour Schedule N Allows you to create assignments with zero hours for each day.
Note: If you attempt to create an assignment with zero hours using a different strategy, an error message appears.
You can create resource requests with zero hours and then staff, assign or hold the resource requests.

Percent Allocation

The Percent Allocation section appears when you choose the Percent Allocation scheduling strategy. In this section you can add date ranges and specify a percentage allocation for the resource in each date range. This calculates the hours for each day. When you create an assignment or update the scheduling strategy on an assignment using this strategy schedule exceptions are created based on the date ranges and percent allocation that you enter.

Note:

To display the Percent Allocation section, you must click Update Schedule after selecting the Percent Allocation scheduling strategy.

After completing or changing the Percent Allocation field you must click Update.

Field   Description
Daily Hours fields R Hours for each day of the date range based on the Percentage Allocation.
End Date * Date on which the date range is to end.
Ignore Holidays   If selected, enables work to be scheduled during holidays on the resources work calendar. This may increase the total hours.
Percent Allocation   Percentage allocation of the resource to use to calculate their scheduled hours for the date range. 
Note:

After completing or changing this field you must click Update.

Start Date * Date on which the date range is to start.
Total Hours R The total hours for the assignment between the dates specified in the Start Date and End Date fields of the date range.

Percentage Allocation Buttons

Button Description
Add Date Range Adds a date range line to the Percent Allocation section.
Refresh Calculates the hours on the daily hours and Total Hours fields for the date range based on the value in the Percentage Allocation field on that date range.
Update Updates the total hours on the Schedule and the Percent Allocation section based on the value in the Percentage Allocation field.
