Creating an Allocation

This topic relates to creating an allocation using templates in Lightning.

To create an allocation:

  1. From the App Launcher, go to the Allocations tab.
  2. Click New. The New Allocation window opens.
  3. In the Allocation Template field, search for and select the allocation template. The list displays only activated templates.
  4. In the Allocation Method field, by default, the allocation method is the same as the record type of the template. You must not edit it.
  5. In the Output field, by default, the output is derived from the selected template. You must not edit it.
  6. [Optional] In the Company field, select the company to allocate to.
  7. The Status field displays the status as "New". You cannot change the status manually.
  8. In the Retrieving Details section do one of the following
    • In the Period From and Period To fields, search for and select a period that belongs to the company.
    • In the Date From and Date To fields, search for and select a date.
  9. In the Posting Details section:
    1. In the Posting Date field, select the date that you want to display on the generated transaction or journal. By default, the current date is selected. This field is mandatory.
    2. [Optional] In the Posting Period field, select the period that you want to display on the generated transaction or journal. By default, the current period is selected.
  10. Click Save. The allocation is created using the selected template.

After the allocation is created, the source and distribution criteria derived from the selected template are visible in the Line Items tab.

If you want to run the allocation process, click Allocate. For more than 1000 lines, the allocation process runs in the background and you receive an email notification after the process completes. The generated journals or transactions are visible in the Related tab.

The Status field in the summary section displays the status of the allocation:

  • New: When the allocation is created and not allocated.
  • Processing: When the allocation process is in progress.
  • Error: When the allocation process completes with errors.
  • Complete: When the allocation process is completed without errors.
Notes:
  • You cannot select both periods and dates in the Retrieving Details section. Either select period in Period From and Period To fields or date in Date From and Date To fields.
  • In the Posting Period field, you cannot select special periods 100, 000, 101, and those periods that have their hard close option set as "All GLAs".
  • If there are no line items retrieved for allocation, or the retrieved line items have a sum of zero, you get an error when you save the allocation. It is recommended to change the dates or periods, or the template to retrieve valid lines for allocation.
