Using PSA Mobile Timecards
Selecting an Org Type for Mobile Time
If your organization uses custom login URLs or a Sandbox org, you must specify your Salesforce organization type prior to logging in.
Android
- On your device, launch Mobile Time.
- On the login page, tap the three vertical dots in the upper right-hand corner.
- Tap Change Server.
- Select the type of organization you are logging into: Production or Sandbox.
- Tap Apply.
To add a Custom Host:
- On your device, launch Mobile Time.
- On the login page, tap the three vertical dots in the upper right-hand corner.
- Tap Change Server.
- Tap Add Connection.
- Specify a name and URL. Use fully-qualified URL, including https:// in the value.
- Tap Apply.
iOS
- On your device, navigate to Settings > PSA Time.
- Under Connection, tap Login Host.
- Select the type of organization you are logging into: Production, Sandbox, or Custom Host.
Starting the App and Logging in
To start PSA Mobile Timecards and log in:
Browser Method
- Launch a browser from your mobile device.
- Log into Salesforce using your Salesforce credentials.
Web App Method
- On your mobile device, tap the icon to launch the PSA Mobile Timecards app.
- Log in using your Salesforce credentials.
Creating a New Timecard
- From the Time Entry page, tap +.
- Tap New Timecard...
- Tap the Assignment.
You can filter from a list of assignments. - Depending upon your custom settings, you can select other related records such as Milestones, Methodologies, or Billable/Non-Billable for the entry.
You can choose to bypass the related records by tapping the appropriate option (for example, No Milestones or No Methodologies) - Tap the day of the week for the timecard entry.
- Enter your time and information in the Draft Timecard screen (options may differ if your organization uses custom field sets):
- Enter hours at Time.
- Tap the check-mark in Travel if the entry is travel time entry.
- Enter any notes in Notes.
Tap Week Notes to enter any notes for the week or view the Estimated Time to Completion (ETC) for the associated project.
- Tap Save to save or Cancel to cancel. Note the timecard is not saved until you tap Save.
Copying Time from Previous Weeks
- From the Time Entry page, tap +.
- Tap Copy from Previous week...
- Use the < or > arrows in the Navigation Bar or swipe in the Navigation Bar to select the appropriate week.
- Tap an individual timecard from your selected week to copy or tap Copy All to copy all timecards in your selected week and save.
Copying Time from Schedules
- From the Time Entry page, tap +.
- Tap Copy from Schedule...
- Tap an individual timecard from your selected schedule to copy or tap Copy All to copy all timecards in your selected schedule and save.
Navigating to a Specific Date
To navigate to a timecard on a specific date:
- Tap .
- Tap Go To Date.
- Use the selector to specify a month, day, and year.
- Tap Go.
In Day mode, PSA Mobile Timecards displays the selected timecard date. In Week mode, PSA Mobile Timecards displays the week containing the selected timecard date.
Editing Time
- From the day or week view, tap a timecard to access the Time Entry page.
- Tap the day to enter time.
- Enter your time in Daily Time.
- Tap Save to save or Cancel to cancel. Your time entry does not save until you tap Save.
Deleting Time
- From the Time Entry page, swipe from right-to-left on the entry to show the Delete button.
- Tap Delete to delete the timecard entry. To hide the Delete button, swipe left-to-right in the entry or tap on another timecard entry.
Submitting Time
- From the Timesheet display, tap
- Tap Submit Timesheet for week or Cancel to cancel.
- Tap Submit Timesheet to confirm submission of your time.
Searching in Mobile Time
Searching for lookups, projects, or assignments in PSA Mobile Timecards returns case-insensitive results. Any spaces, underscores (_), and percent signs (%) in the search term are treated as wildcards.
For example, searching for "San n" can return "San Francisco" and "Pleasanton" but not "San Diego".
Entering Time Against Project Tasks
When you enter time against a task, the Time Entry page behaves in one of the following ways depending on the entry mode your administrator has chosen.
Entry Mode | Description |
---|---|
Current | This is the default time entry mode. You cannot enter time against a project task while in this mode. |
Adjust up | When you enter time against project tasks, if the sum of the hours for project tasks on a timecard day is greater than the timecard hours on that day, the timecard hours for that day are set to the sum of the project task hours on that day. If you remove the project task or reduce the hours on a project task, the timecard hours do not change. For example, if you enter a timecard with two hours for Monday and then enter four hours against a project task for Monday, the timecard hours for Monday change to four. If you then remove the project task, the timecard hours for Monday remain at four. |
Calculated | Changing the timecard hours has no effect on the project task hours. The timecard hours for a day are always set to the sum of the task hours for that day. When in this mode you can override the calculated timecard hours for each day. |
Freeform | When you enter time against a task, this has no effect on the timecard hours and changing the timecard hours has no effect on the project task hours. Project task and day totals are shown. |

To enter time against project tasks:
- From the Time Entry page, tap +.
- Tap New Timecard...
- Tap the Assignment.
You can filter from a list of assignments. - Tap the day of the week for the timecard entry.
- Enter your time and information in the Draft Timecard screen (options may differ if your organization uses custom field sets):
- Enter hours at (Day Name) Time.
- Tap the check-mark in Travel if the entry is travel time entry.
- Enter any notes in Notes.
- Tap + Add Task Time.
- Select from the list of offered tasks.
You can select multiple tasks by tapping each task in the list or tap the Select All button to select all the tasks.
PSA Mobile Timecards presents a list of relevant tasks based on hierarchy and the Restrict Task Based on Assignment or Restrict Task Based on Milestone values in the Timecard Entry UI Personal custom setting.
If there are no tasks to assign time against, an informational message displays. - Tap Create 1 Task Time Entry (for one selected task) or Create (number) Task Time Entries (where (number) is the number of selected tasks).
- On the Timecard Detail page, enter the task hours in the task name field.
A roll-up of all task time displays all task hours for the day's time. - Save your changes.
Changing Lookup or Picklist Values
You can edit lookup and picklist values that are not designated as read-only. For example, selecting a location or project from a list of pre-determined options.
To change lookup values:
- Tap the field.
- (Optional) Enter a value in the search to narrow the list of options.
- Tap to select the new value.
To change picklist values:
- Tap the field.
- (Optional) Enter a value in the filter to narrow the list of options.
PSA Mobile Timecards filters the list to any results containing the characters you enter in the filter. For example, "al" could return "Alabama" and "California". - Tap to select the new value.
Logging Out
Logging Out from the App
To log out, tap and hold the reload button for two seconds.
To log out from the app:
- Tap .
- From the side menu, tap Log Out.
Logging Out from a Browser
Use your browser's Back function to get to the Salesforce organization and log out in Salesforce.
Refreshing Data
To refresh the data from Salesforce in your app:
- Tap .
- Tap Refresh Data.
Reloading the App
To reload the application data, including code updates and Salesforce data:
- Tap .
- Tap Reload App.
