Using the Deferred Revenue Reporting Dashboard

The Deferred Revenue Reporting dashboard provides a historic and forward-looking view of your services billing and revenue. You can view the following for a PSA project and the related milestones, timecards, expenses, and miscellaneous adjustments:

  • The amount of revenue pending recognition.
  • The amount of revenue recognized and the amount billed to date.
  • The amount of revenue currently being recognized.
  • The amount of billing currently being processed by your accounting system.
  • The amount of revenue recognized and deferred by financial period, such as month, quarter, or year.
  • The amount billed and scheduled to be billed, the amount of revenue recognized and deferred, and the variance between the two values per period.
  • The related revenue recognition transaction lines.
  • The related billing event items.

Data

The data displayed in this dashboard is derived from the following datasets:

  • Deferred Revenue Reporting Billings
  • Deferred Revenue Reporting Transactions
  • Time Periods

Sources and Objects

The main source records for the dashboard are PSA projects. Throughout the dashboard, source refers to a project. For example, the Source Name field contains the name of the project. We further extended the basic project information with the related business records, namely milestones, timecards, expenses, and miscellaneous adjustments. These are referred to as objects in the dashboard. For example, the Object Type field contains the type of business record, for example, "Milestones" and the Object Name field contains the name of the, in this case, milestone.

For a project to be included in the dashboard, it or its related business records must have a revenue recognition template assigned.

You can filter the dashboard by sources and by objects. In the Revenue Transactions and Billing tables, these fields enable you to easily determine where the billing or recognition originated from.

Billing

The billing information is derived from billing event items in PSA.

If you recognize revenue at the project level, the dashboard includes all billing event items related to the project's milestones, timecards, expenses, and miscellaneous adjustments.

If you recognize revenue for the business records, only the billing event items related to the business record with a recognition template are included in the dashboard.

Recognized Revenue

The revenue recognition information is derived from revenue recognition transactions in Revenue Management. You might recognize revenue at the project level or for business records related to the project.

Most dashboard charts display values from committed transactions. You can view the in-progress transactions on the Revenue Transactions tab.

Deferred Revenue

The deferred revenue information is derived from revenue forecasts in PSA.

By default, the Waterfall and Recognized Revenue and Deferred Revenue charts display values from the live revenue forecast version. You can use the Forecast Version drop-down selector to view the values for another revenue forecast version.

Note:

If you make manual adjustments to a forecast version, these are not reflected in the dashboard. For more information, see Adjustments.

Document and Dual Currency

The dashboard contains billing and revenue values in the corporate (dual) currency and the project (document) currency. Depending on how your org is configured, historic currency exchange rates might be applied. For more information about the required setup, see Setting up the Deferred Revenue Reporting Dashboard.

All the charts on the Summary tab display values in the corporate currency.

The Revenue Transactions and Billing tables display the values in the corporate and the project's currency side by side.

The Waterfall table displays values in the corporate by default. You can use the View In drop-down selector to view the values in the project's currency. In this case, you might want to filter projects by the Source Currency field. This ensures that you are comparing data displayed in the same currency.

Note:

Because of how Analytics processes currency fields and because values are rounded, the values displayed in the dashboard might not completely match the values in Revenue Management, PSA, or your accounting system. For more information about how these values are calculated, see the following:

Note:

If you recognize revenue at the project level, the Amount Recognized (Document) and Amount Recognized (Dual) fields both display values in the corporate currency.

Managing Filters

Your filter selections determine the data displayed on the dashboard charts. By default, the filters panel is hidden in this dashboard. To show the filters click . Click to hide the filters. To set or change your filters, use the following drop-down options:

  • Date Range: set the time period to define the data that you want to report on. This is set to "All" by default to ensure that all the data is displayed. You can select a shorter period to focus on the relevant data.
  • Company Name: select the company that you want to see data for.
  • Account Name: select the account that you want to see data for.
  • Source Name: select the project that you want to see data for.
  • Object Name: select the business record that you want to see data for.
  • Object Type: select the type of business record that you want to see data for.
  • Source Currency: select the project currency that you want to see data for.

Using Dashboard Charts

The Deferred Revenue Reporting dashboard contains the following charts.

Summary Tab

The Summary tab provides you an overview of the current status of revenue recognition and billing for the selected projects at a high level.

Note:

All the values displayed on this tab are shown in the corporate currency.

Revenue Pending Recognition Donut Chart

The Revenue Pending Recognition chart enables you to view the total revenue that has not been recognized yet per project. Each slice of the donut represents a project. You can hover over a slice to view the project name and the revenue pending recognition. This value is calculated by subtracting the recognized amount from the invoiced amount for each project. You can also click a slice of the donut to highlight a project. The stacked bar chart refreshes automatically to display only the data for the selected project.

Note:

Selecting a project in the donut chart does not filter data in the Recognized Revenue and Deferred Revenue chart.

Totals Stacked Bar Chart

The stacked bar chart enables you to view the following data for all the projects included in your filter criteria:

  • Total billed amount - this is the sum of all invoiced billing events.
  • Total recognized amount - this is the sum of all committed revenue recognition transactions.
  • Billing events awaiting invoicing - this is the sum of all billing events that have been released but not yet invoiced.
  • Recognition transactions in progress - this is the sum of all in-progress revenue recognition transactions.

If you select a slice in the Revenue Pending Recognition donut chart, the values are only displayed for the selected project.

By Source Stacked Bar Chart

The By Source chart displays the same information as the Totals chart broken down by project. This can help you compare several projects.

Recognized Revenue and Deferred Revenue Stacked Bar Chart

The Recognized Revenue and Deferred Revenue chart enables you to view historic and forward-looking data of your revenue according to your selected filter criteria. You can view how much revenue was recognized in the past and how much is estimated to be deferred in the future.

The recognized revenue values are derived from committed revenue recognition transactions in Revenue Management.

The deferred revenue values come from revenue forecasts in PSA. By default, the chart displays values from the live forecast version. You can use the Forecast Version drop-down selector to view the value for another version.

You can group the data by fiscal period, quarter, or year. By default, the data in the chart is grouped by year.

You can hover over each bar to view the type of revenue and its amount for the period. When you group the data by period, the current period only displays recognized revenue. When you group the data by quarter, the current quarter displays recognized revenue for the past and current periods. If the quarter also contains a future period, the deferred revenue value is displayed for them. The chart works in a similar way when you group by years.

Revenue Transactions Tab

This table chart enables you to view the revenue recognition transaction lines that were created after running the revenue recognition process for a project or its related business records.

This table contains the following columns:

  • Account Name
  • Source Name
  • Object Name - this is the name of the record that the revenue was recognized for. Depending on how you recognize revenue, this might be the project or one of its related business records.
  • Object Type - this is the type of record that the revenue was recognized for.
  • Transaction Date
  • Transaction Number
  • Transaction Line Number
  • Source Currency
  • Amount Recognized (Document Currency) - this is the amount recognized in this revenue recognition transaction line for this object in the project's currency.
  • Amount Recognized (Dual Currency) - this is the amount recognized in this revenue recognition transaction line for this object in the corporate currency.
  • Status

By default, only lines that belong to committed transactions are displayed in the table. You can use the Status filter to view in-progress transactions.

You can also filter the transaction lines by amount recognized in the corporate currency, the line number, or its parent transaction's number.

Billing Tab

This details table enables you to view the billing event items that were generated for the business records related to the project.

This table contains the following columns:

  • Account Name
  • Source Name
  • Object Name - this is the name of the record billed in this billing event item.
  • Object Type - this is the type of record billed in this billing event item.
  • Billing Date
  • Billing Event Number
  • Description - contains the number of the billing event item, followed by its description. You can click Open Record to open the billing event item. For more information, see Drilling Through to Records.
  • Source Currency
  • Amount Billed (Document Currency) - this is the amount billed in this billing event item in the project's currency.
  • Amount Billed (Dual Currency) - this is the amount billed in this billing event item in the corporate currency.
  • Status

By default, only items that belong to invoiced billing events are displayed in the table. This means that they have been processed by your accounting system. You can use the Status filter to view billing events that have been released in PSA, but have not yet been processed by the accounting system.

Waterfall Tab

The Waterfall table enables you to view historic and forward-looking data of your billing and revenue per project and period.

For periods in the past and the current period, you can view the total amount billed, the total amount of recognized revenue, and the variance between the two amounts. The variance is the result of subtracting the recognized revenue from the billed amount.

For periods in the future, you can view an estimation of the billing and the deferred revenue. The billing information is derived from billing events awaiting release. The deferred revenue is derived from the revenue forecast. By default, the live revenue forecast version is used but you can use the Forecast Version drop-down selector to change it. The variance is calculated by subtracting the deferred revenue from the billed amount.

The variance is cumulative across periods. This helps you identify whether you are recognizing more than you are billing and the other way around.

This table contains the following columns:

  • Account Name
  • Source Name
  • Source Currency
  • Total Billed
  • Total Recognized
  • Source Start Date
  • Type
  • Value

The View In drop-down selector enables you to switch between viewing the data in the corporate (dual) currency or the project's (document) currency. By default, the values are displayed in the corporate currency.

Drilling Through to Records

You can drill through to view details of records displayed in the dashboard. The table below provides more information about the drillable fields.

To view details of a selected record:

  1. Click the field that you want to drill.
  2. Click Show Record Actions Menu, then click Open Record.
