Using The Resourcing Tab to Match Resources

When you match resources using the Resourcing tab on a resource request, the Include Recommended Resources checkbox in the Match Settings panel determines whether or not Intelligent Staffing is performed.

When Include Recommended Resources Is Deselected

When the Include Recommended Resources checkbox is deselected and you click Apply, the following fields are all considered as essential for matching: Role, Region, Practice, Group, Worked With Customer, Preferred Resource, any custom filter fields, and essential skills. Only resources that precisely match the values in the Filters panel are returned to the grid where they are listed in descending order of availability. Any resources without availability information are listed at the bottom, unordered.

Note:

Because all the criteria are considered as essential, it can result in no resources being returned.

When Include Recommended Resources Is Selected

When the Include Recommended Resources checkbox is selected and you click Apply, by default the following fields are all considered as essential for matching: Role, Region, Practice, Group, Worked With Customer, Preferred Resource, any custom filter fields, and essential skills. Any resources that do not match all essential fields are filtered out. By default, Intelligent Staffing then ranks the remaining resources for suitability based on non-essential criteria, desirable skills, availability, and cost. Resources are listed in the grid in rank ascending order, from 1 as the highest ranked to 200 as the lowest ranked (subject to the Number of Matched Resources to Show). The Rank column displays the rank awarded to each resource.

Suggested, held, assigned or pinned resources are displayed at the top of the list of resources but have no advantage in ranking. Shortlisted resources are also included in the list, at the position determined by their rank.

Note:

You can adjust the configuration used by Intelligent Staffing to weight criteria as being ideal, suggested, or desirable rather than essential. If the resource matching process cannot find an exact match, it then returns the most suitable resources and ranks them according to your chosen priorities. Configuring Include Recommended Resources to Be Selected by Default

You can configure the Include Recommended Resources checkbox to be selected by default by editing the Resource Request Lightning page in Lightning App Builder, then selecting the Include Recommended Resources Default field for the PSA Resourcing component.

Configuring Weightings and Priorities at Runtime

When the Include Recommended Resources checkbox is selected in the Match Settings panel, other fields in the panel become available for editing. The panel is populated according to the selected resource search settings record which defaults to the one linked to the resource request's staffing preference. If no staffing preference exists, or you clear the Resource Search Settings lookup, the panel is populated according to the Resource Search Service custom setting. You can edit the weightings and priorities to adjust how resources are filtered and ranked for the current resource request.

Note:

You can also adjust field weightings and match priorities when using Resource Request Staffer and Resource Optimizer. Click Settings panel on either page to open the Settings panel. Any changes you make apply to the current resource matching session only.

Setting Filter Criteria at Runtime

When you match resources using the Resourcing tab, you can click Filters panel to open a Filters panel where you can edit the values that resources are matched against. This includes the values for Role, Region, Practice, Group, Worked With Customer, Preferred Resource, and any resource search fields. In addition to editing the values for Region, Practice, and Group you can choose whether to include sub-regions, sub-practices, and sub-groups as valid matches.

For example, you might have a region named APAC with a sub-region named Australia. If the value for Region in the Filters panel is APAC, a resource with the region Australia will be filtered out if Include Sub-Regions is deselected, but will not be filtered out if Include Sub-Regions is selected.

Note:

Other ways of matching resources, such as auto-staffing and Resource Request Staffer, automatically include sub-regions, sub-practices, and sub-groups as valid matches.
