Creating Services Deliverables and Deliverable Items

A services deliverable is a template of work that represents either a specific outcome such as the implementation of a new business system, or a service such as consultancy and training in preparation for adopting an industry standard. A services deliverable consists of one or more services deliverable items.

To create a services deliverable with its items, you must carry out the following steps.

Step 1: Create a Services Deliverable

To create a services deliverable:

  1. On the Services Deliverables tab, click New.
  2. Enter a name for the deliverable.
  3. Select the template project containing the milestones you want to link the services deliverable to.
  4. [Optional] Enter a description for the deliverable.
  5. Click Save.

You can edit, clone, and delete services deliverables using the standard Salesforce actions.

The monetary price for a services deliverable

Step 2: Add Items to the Services Deliverable

To add items to a services deliverable:

  1. Click New in the Deliverable Items tab within the services deliverable record page.
  2. Enter a name for the item.
  3. Select the template project containing the milestone you want to link the services deliverable item to. This must be the same template project that you selected for the parent deliverable.
  4. Select the milestone you want to link the services deliverable item to. You can only select milestones that are related to the selected template project.
  5. Depending on the pricing option you want to use, do one of the following:

    • If you want to price the parent deliverable in services credits, enter the services credits needed to fund the item in the Services Credits field.
    • If you want to price the parent deliverable in the project currency, enter the percentage of the parent deliverable's total price that corresponds to the item in the Price Allocation (%) field.
    • If you want to use both pricing options, complete both the Services Credits field and the Price Allocation (%) field.
  6. Leave the Active checkbox selected if you want the item to be included when the parent deliverable is added to projects.
  7. [Optional] Enter a description for the item.
  8. Click Save.
  9. [Optional] Repeat these steps to add more items to the deliverable.

You can edit, clone, and delete services deliverable items using the standard Salesforce actions.

Note:

For services deliverables using monetary pricing, the total price must be specified manually when adding them to a project. For more information, see Adding Services Deliverables to Projects.

Step 3: Enable a Pricing Option for the Services Deliverable

To enable a pricing option for the deliverable, do one of the following:

  • If you want the deliverable to be priced in services credits, on the deliverable record click Enable Services Credits Pricing. The deliverable will be available for selection when adding deliverables with services credits pricing to projects.
  • If you want the deliverable to be priced in the project currency, on the deliverable record click Enable Monetary Pricing. The deliverable will be available for selection when adding deliverables with monetary pricing to projects.
  • If you want the deliverable to be priced in both, services credits and the project currency, enable both pricing options. The deliverable will be available for selection when adding deliverables to projects regardless of whether you choose to add deliverables with services credits pricing or with monetary pricing.

Disabling a Pricing Option

You can disable a pricing option as follows:

  • To disable the services credits pricing option, click Disable Services Credits Pricing.
  • To disable the monetary pricing option, click Disable Monetary Pricing.
Note:

Disabling both options deactivates the services deliverable. Services deliverables with no pricing option selected are unavailable for selection when adding deliverables to projects. This applies regardless of whether you are adding deliverables with services credits pricing or with monetary pricing.

Considerations and Limitations

When creating services deliverables and their items, keep the following considerations and limitations in mind:

  • All the milestones associated with the same deliverable must be linked to the same template project.
  • Services deliverables with no pricing option selected are unavailable for selection when adding deliverables to projects. This applies regardless of whether you are adding deliverables with services credits pricing or with monetary pricing.
  • The same milestone cannot be associated with more than one active item in the same deliverable, but it can be associated with different deliverables.
  • The Services Credits field in the milestone does not get copied across to the deliverable item. The value must be set when creating the item. This enables them to share the same milestone with different items that are priced differently. For example, a milestone might be priced at 50 credits when it contributes to the delivery of a standalone service, but priced at 45 when it contributes to the delivery of a package of services.

Services Deliverables with Services Credits Pricing

The following considerations and limitations apply to services deliverables with services credits pricing:

  • You cannot enable services credits pricing if any active items in the deliverable have a blank services credits value. Every active item must have a services credits value defined.
  • Zero is considered a valid services credits value for a deliverable item.

Services Deliverables with Monetary Pricing

The following considerations and limitations apply to services deliverables with monetary pricing:

  • You cannot enable monetary pricing if the services deliverable has no items or the price allocations for its active items do not sum to 100%. The sum of the price allocations across all active items must always equal 100%. For example, if a services deliverable includes four active items, each can be assigned a 25% allocation to reach the required 100% total.
  • You cannot enable monetary pricing if any active items in the deliverable have a blank price allocation value. Every active item must have a price allocation value defined.
  • Zero is considered a valid price allocation value for a deliverable item.
  • When a deliverable is enabled for monetary pricing, items cannot be added, deleted, activated, deactivated, or have their price allocation modified if this results in a total price allocation for the deliverable other than 100%. If a deliverable's total price allocation is already at 100%, any new items added to it must have a price allocation of 0%.
  • If you clone a deliverable with monetary pricing that contains active items, you will automatically receive an error message. This occurs because the standard Clone action does not copy related deliverable items. Therefore, there are no items to satisfy the 100% total price allocation required for the deliverable. To resolve this:

    1. Click Cancel on the New Services Deliverable window to cancel the Clone action.
    2. Click Disable Monetary Pricing on the original record to temporarily disable the monetary pricing option.
    3. Click Clone to clone the deliverable again.
    4. Review the fields on the new record and click Save.
    5. Return to the original record and click Enable Monetary Pricing to re-enable the pricing option.
