Timesheet Entry Overview
Timesheet Entry enables you to submit time against multiple projects, assignments, milestones, and project tasks. You can also view and add daily notes with details such as the location for off-site visits or meetings, as well as edit, recall, save, and submit your timecards for approval.
Timesheet Entry utilizes your associated work calendar and defaults to the set week start day set on your work calendar. The default week upon opening Timesheet Entry is the current week.
The following columns are displayed by default in the Timesheet Entry grid:
- Milestone
- Monday
- Tuesday
- Wednesday
- Thursday
- Friday
- Saturday
- Sunday
- Total Hours
- Status
- Notes
- Work
The Work column contains both global projects and your assignments:
-
indicates the record is a global project. -
indicates the record is an assignment.
For more information, see Timesheet Entry Fields and Buttons.
Customizing the Grid
The Timesheet Entry grid retains any changes made to the grid, each time you use the grid on the same computer, using the same browser. You can configure the grid by changing column widths and layouts, hide columns, and sort columns, and these configurations are remembered by the grid when you navigate away and back again.
The grid displays all columns in a single scrolling region. The Work column, the Milestone column when enabled, and any fields configured to appear first through the Timecard Entry UI Personal custom setting are shown on the left, followed by the hours columns and the remaining columns. The alerts and selection column stays fixed on the left, and the row actions column stays fixed on the right.
Configuring the Work Column
By default, the Work column displays the project name for global project rows and the assignment name for assignment rows. You can add more context to the Work column by selecting personal custom settings on the Timecard Entry UI Personal custom setting:
- Show Project Name with Assignment — When selected, the project name appears before the assignment name on assignment rows.
- Account Field to Display in Timecard — Enter the API name of an Account field. The field value appears at the start of the row.
- Show Assignment Number — When selected, the assignment number appears after the assignment name on assignment rows.
When more than one setting is configured, the segments appear in the following order in the Work column: account field, project name, assignment name, assignment number.
For more information about the personal custom settings, see Time Entry Settings.
Creating Timecards from an Empty Timesheet
When you open Timesheet Entry for a week that contains no timecards, the grid displays an empty state with a single primary action button. The primary action runs one of the four timecard creation methods:
- Suggest Timecards
- Create From Global Projects
- Create From Assignments
- Create from Tasks
Any remaining enabled methods are listed in an overflow menu next to the primary action button.
Your administrator selects which method is the primary action using the Default Primary Action property on the Timesheet Entry component in Lightning App Builder. If the selected method is disabled in your org, the primary action falls back to Suggest Timecards, then to Create From Assignments, then to the first enabled method in the list above. Disabled methods do not appear in either the primary action or the overflow menu.
For more information, see Using Timesheet Entry and Timesheet Entry Properties.
Delegated Time Entry
It is possible to enter time on behalf of another resource, when your administrator has configured your org. For more information, see Using Timesheet Entry.
Non-Working Days
Holidays and Bank Holidays are indicated by
displayed to the left of the hours cells in the Timesheet Entry grid. Holidays are determined from your work calendar. The icon remains visible while you are editing a row.
National holidays and Bank Holidays must be set up in your work calendar, using the Holiday object to display in the grid.
Holiday hours are automatically excluded from the Remaining Hours to Submit summary card, as they do not count as a working day. The overall Work Calendar summary card still displays the total hours for the week according to the work calendar.
