Entering Time Against Projects and Assignments

You can create or edit timecards to log time against work you have done on projects and assignments. To log time against project tasks, see Entering Time Against Project Tasks.

Creating or Editing a Time Entry Timecard

Note:

When Shield Platform Encryption is enabled in your org, you must be as specific as possible when searching for Shield Platform Encryption-supported fields to ensure that matching results are found.

To create or edit a Time Entry timecard:

  1. Access the Time Entry page as shown below:
  1. Update the default Week Ending Date if needed using the date entry field.
  2. The Resource field is defaulted to your name.
    If you are entering time for someone else, start typing a name in the Resource field. The typeahead feature displays matches. Select a result. Alternatively, click the Resource Lookup and select View All to find and select more resources. See Using Lookups.
    Note:

    If you enter a timecard on behalf of someone else, when you change the value in the Resource field, the first day of the week is set to the Week Start Day of that resource.

    When Shield Platform Encryption is enabled in your org, you must be as specific as possible when searching for a resource name to ensure that resources are found. See Shield Platform Encryption for more information.

  3. Select a project or assignment to log time to. The Project/Assignment field behaves similarly to the Resource feature. Start typing in the Project/Assignment field. Alternatively, click the Project/Assignment Lookup to search. You can also select Return to search when no matches are found. See Using Lookups. After you select a project or assignment, the Information icon now displays the information relating to it.
  4. You may be required to enter daily or weekly notes. Cells that are required to complete may be marked with a visual indicator.
    • For daily notes, double-click the day cell that you want to enter notes for. Complete the fields in the daily notes popup. As you type, the Notes field shows you how many remaining characters you have.
    • For Weekly notes, click the Notes icon and complete the fields.
    • Depending on configuration, click the Up and Down arrows in the daily or weekly notes popups as appropriate to collapse or expand notes, location or travel fields.
    • Click Done when finished. A visual indicator shows where notes have been added in daily cells and in the Notes column of the time entry line. See Time Entry Visual Indicators.
  5. [Optional] You can change the width of custom columns. Click a column header and drag the column accordingly. To hide a custom column, click the column header's down arrow and select Columns and deselect the column you want to hide. Your administrator can save your column preferences with a custom setting. See Save Column Preferences.
  6. Complete the remaining fields as described in Timecard Entry Fields.
  7. To add more lines for each project or assignment, select the number you require and click Add Lines . Select Delete Selected Lines to remove one or more selected lines.
  8. Select Save or Submit.

Creating or Editing a New UI Timecard

To create or edit a New UI timecard:

  1. To display the Timecard Entry page, do one of the following:
    • Click the Timecards tab and then click New.
    • Click the Log a Timecard link on the sidebar.
    • Click Log a Timecard in the Timecards related list on a project, assignment or milestone.
    • If you want to log time against project tasks, click the Log a Timecard with Task Time link on the sidebar or the Log a Timecard with Task Time button in the Timecards related list on a project, assignment or milestone.
  2. Select the Week Ending Date by clicking the arrow buttons or date entry field.
  3. If you are entering time for yourself, the Resource field defaults to your name. If you are entering time for someone else, select the resource. If you are using the enhanced timecard UI use the Resource lookup .
    Note:

  4. Select the project or assignment using one of these methods depending on the version of PSA timecards that you are using:
    • Select the project assignment.
    • Click Select Project/Assignment or and then search for and select the project or assignment from the Project / Assignment Lookup.
    • Click Add a Project and select the project or assignment from the Project / Assignment Lookup.
  5. [Optional] Select or deselect Billable as applicable.
  6. You may be required to enter notes. If so, do one of the following depending on the configuration your administrator has chosen:
    • Click the notes icon to begin. Click Done when finished.
    • Double-click the day cell that you want to enter notes for or press the Down Arrow key while that cell is selected, complete the fields in the popup that appears and then click Save.
  7. Complete the remaining fields as described in Timecard Entry Fields.
  8. Add a line for each project or assignment. Click Add Lines to add more lines.
  9. Click Save.
