Defining Source Criteria in Allocation Templates

Source criteria in allocation is defined to identify the account, dimension, or general ledger account, or range of accounts, dimensions, or general ledger accounts to be used as the basis of an allocation.

Fixed Templates

To define source criteria:

  1. Open a fixed template record and click the Source Criteria tab.
  2. If there is no data displayed, click Add Source Criteria. The Add Source Criteria window displays.
  3. In the Company field only one of the following can happen:
    1. You will be able to select only a non local or corporate company if the distribution criteria has non local or corporate companies.
    2. You will be able to select either a non local company or a local company if the distribution criteria has no company defined.
    3. If the distribution criteria has a local company defined, this field is automatically populated with that local company, and you cannot change it.
  4. In the Source field, Click to select the source. The following options are displayed: Account, General Ledger Account, Dimension 1-4.
  5. In the Operator field, either select "Multi-Select" or "Range". Multi-Select option is selected by default:
  6. In the Value field:
    • If you selected "Multi-Select" in the Operator field, you can search for and select multiple values for the selected source,
    • If you selected "Range in the Operator field, you can specify the range of values for the selected source in the alphabetical order. In the Value From field search for and select the starting value and in the Value To field search for and select the ending value.
  7. [Optional] To add a condition and add more sources, click Add Condition within the source criteria section.
  8. [Optional] To add more source criteria, click Add Criteria and perform the same steps as above.
  9. Click Save to save the source criteria.
Notes:
  • If you have a local company in the Company field and General Ledger Account is selected in the Source field, the Value field displays the picklist with the GLAs that belong to the selected local company.
  • If a rule with the local company is selected to create the template, that local company is automatically populated in the Company field of the source criteria. You cannot change it manually. To change the company, change the allocation rule.
  • If a rule is not selected to create a template and you use a local company in the distribution criteria manually, that same company will be automatically populated in the source criteria.
  • You must first clear the source criteria before changing the allocation rule in the following scenarios:
    • When the selected rule uses corporate companies and you want to replace it with a rule that uses a local company.
    • When the selected rule uses a local company and you want to replace it with a rule that uses corporate companies.
    • When the selected rule uses a local company and you want to replace it with a rule that uses a local company from a different country.

Statistical Templates

To define source criteria:

  1. Open a statistical template record and click the Source Criteria tab.
  2. If there is no data displayed, click Add Source Criteria. The Add Source Criteria window displays.
  3. In the Company field, select the required company.
  4. Follow steps 4 to 9 as mentioned for fixed templates.

After the source criteria is saved, define the distribution criteria for templates. For more information, see Defining Distribution Criteria In Allocation Templates

To edit the source criteria, click Edit Source Criteria in the Source Criteria tab and the Edit Source Criteria window displays. Here you can edit the criteria. Click Save, to save the updated criteria.

Clearing Source Criteria

To clear source criteria:

  1. Click Clear Source Criteria in the Source Criteria tab. The confirmation window displays.
  2. Click Clear. The defined source criteria and conditions are cleared and the grid is empty.
 
Notes:
  • If you are clearing the source criteria for a fixed template that has a local company, the criteria and conditions are cleared but the local company still displays in the Company field and it cannot be changed.
  • You can add a maximum of 5 source criteria to an allocation template and a maximum of 6 conditions to a single source criteria. This is applicable to both fixed and statistical templates.
