Expense-Based Budget Consumption Fields

You can view the Expense-Based Budget Consumption grid in the Consumption tab of a budget record, although an administrator can configure it to be displayed elsewhere on the page.

The grid provides the list of expenses that are consuming the budget. The permissions required to use this component are listed in Permission for the Expense-Based Budget Consumption Lightning Component.

Note:

This feature is only supported if PSA is configured to track the consumption of individual budgets. For more information, see Track Consumption of Individual Budgets.

Grid

The following columns are displayed in the grid. The values in these columns are derived from the respective fields in the related expense record.

Name Description
Expense Name

The name of the expense. You can click to navigate to the expense.

Expense Report Expense report to which the expense relates. You can click to navigate to the expense report.
Resource Resource to which the expense relates. You can click to navigate to the resource.
Milestone The milestone to which the expense relates. You can click to navigate to the milestone.
Assignment

The assignment to which the expense relates. You can click to navigate to the assignment.

Type The type of expense. You can click to navigate to the type.
Amount Allocated

The amount consumed by the expense.

  • When the budget is of type "Billable Expenses", this is the billable amount.
  • When the budget is of type "Non-Billable Expenses", this is the non-billable amount.

If the expense is not in project currency, this amount is converted to project currency when it is allocated to the budget. Conversion is done using the rates on the expense record.

Expense Date Date of the expense.

Toolbar

The toolbar above the Expense-Based Budget Consumption grid contains:

Field or Button Description
Search

Enter a search string then press Enter to find rows where one of the following columns contains the search string:

  • Assignment

  • Expense Name

  • Expense Report

  • Milestone

The search is case-insensitive.

Open Filter panel Opens the filter panel to enable you to filter the grid.
Note:

Search is not applied to the Resource column due to potential issues in encrypted orgs.

Fields in the Filters Panel
Field Description
Resource Filters for expenses with the selected resources and displays them in the grid. You can select one or more resources.
Type Filters for expenses with the selected type. You can select one or more types.
Expense Report Filters for expenses in the selected expense reports. You can select one or more expense reports.
Assignment Filters for expenses with the selected assignments and displays them in the grid. You can select one or more assignments that you want to display in the grid.
Milestone Filters for expenses with the selected milestones and displays them in the grid. You can select one or more milestones.
Start Date Filters for expenses with the expense date on or after the specified date.
End Date Filters for expenses with the expense date on or before the specified date.

Apply Applies the filters.
Clear Clears all filter fields and removes any applied filters.
