Assigning a Resource or Role to a Project Task

To view assigned resources or roles:

Do one of the following:

To assign resources or roles to the selected project task:

  1. Carry out the previous steps to view assigned resources or roles.
  2. Select either Resource or Role from the drop-down list.
  3. Click Add new.
  4. Select the name of the resource or role, or enter some characters from their name. You can assign a resource who is external to your PSA organization (an external resource): enter their name, press Enter or click OK, and click Assign when the Confirm External Resource popup window appears.
  5. Repeat the previous two steps to add another resource or role.
  6. Click OK.
  7. Click Save.

About Project Task Assignments

When assigning a resource or role to a project task using Project Task Gantt, you must specify at least one of the following:

Assigning a resource or role in Project Task Gantt will create a project task assignment rather than a resource assignment record.

When you assign both a resource and a role to the same project task using Project Task Gantt, separate project task assignments are created that correspond to each resource or role. However, if you assign both a resource and a role to the same project task using the standard Salesforce user interface (see "Assigning Resources to a Project Task") an individual project task assignment record is created. However, when viewing these project tasks in Project Task Gantt, only the resource is visible.

When you assign both an external resourceA person or entity that is external to your Salesforce organization. You can use external resources when assigning external staff, such as contractors, to project tasks. and a standard resource to the same project task using Project Task Gantt, separate project task assignments are created that correspond to each resource and external resource.

Depending on the configuration that your administrator has chosen, resources can enter time against a project task. If you want the resource to book time and expenses to the project, you must also assign them to the project. See "Searching for Resources and Assigning them" and "Entering Time Against a Project Task".

To remove a project task assignment for the selected task:

  1. Carry out the previous steps to view assigned resources or roles.
  2. Select the resource or role from which you want to remove the assignment.
  3. Click Remove.
  4. Click OK.
  5. Click Save.
