Extracting RAID Items from a Transcript Using the Certinia Services Delivery Agent

You can attach a transcript when using the Certinia Services Delivery Agent to extract Risks, Issues, Actions, Assumptions, Decisions, and Dependencies from it. For more information about attaching a transcript, see Attaching a Transcript to the Certinia Services Delivery Agent.

When attaching the transcript, you must mention the intent and state the project. The agent asks for the project if not already given. The agent never infers the project from the transcript's content, even if a project name appears in the text.

Once the project is known, the agent reads the project's existing RAID records, extracts items from the transcript, and compares the two. If an extracted item matches an existing record and the transcript adds new details to it, the agent proposes an update to that record. Items that don't match an existing record are proposed as new records. If an extracted item matches an existing record exactly, with no new detail, the agent does not propose a create or update for it.

To extract the RAID items:

  1. Attach a transcript in the chat window, describe what you want, and send it. For more information on attaching a transcript, see Attaching a Transcript to the Certinia Services Delivery Agent.
  2. When asked, mention the project the transcript belongs to.
  3. The agent extracts and reconciles RAID items against the project's existing records.
  4. Review the items on each approval card and either click Approve to apply that card's changes, or Reject to discard them.
  5. The agent confirms about the created and updated records.
Notes:
  • Approval cards are presented one at a time, per RAID type, in the order risk, action, assumption, issue, decision, dependency. Each type can have a separate create card and update card.
  • The agent lists which extracted items already exist on the project unchanged, so you know why no card was presented for them.
  • If the agent cannot classify an extracted item into a RAID type, it lists the item in the chat instead of proposing it for creation.
  • If an owner mentioned in the transcript can't be resolved to a single Contact, the agent proposes the record without an owner rather than asking you to resolve it.
  • If you ask the agent to extract RAID items but haven't attached a transcript, it asks you to attach one before continuing.
  • The agent only extracts RAID items from a transcript. It does not answer general questions about the transcript's content, such as who attended or what was discussed.
  • If you dictate a single item directly, for example "add a risk to Project Alpha: vendor may slip," the agent creates it directly using the normal create flow rather than treating it as an extraction request, even if a transcript is attached.   • To see RAID items already logged against a project rather than extracting new ones, you do not require a transcript. For example, ask the agent directly, what risks are already logged on Project Alpha?
