Adding Project Tasks from a Template

Notes:
  • The main procedure is for users of record pages supplied by Certinia from Fall 2020.
  • From Fall 2020, if you are not using the pages supplied by Certinia, your administrator can add the PSA Actions: Project Tasks component to the project record page.

You can add all or selected project tasks from an existing projectClosed A collection of activities and related items to be managed over a defined time range, such as timecards, expenses, milestones and budgets. to your current project. The existing project does not need to be marked as a template. Existing hierarchy and project task dependencies are maintained.

To add project tasks from a project template:

  1. On a project record, click Actions | Project Tasks | Add Project Tasks from Template. The Add Project Tasks from Template window opens. You can select an existing project or a template project to add project tasks from. Projects without project tasks are not listed.
  2. Select a recently used project or search for a project using two or more characters that appear anywhere in the name. Up to 100 projects are displayed and are controlled by project sharing settings. To filter the search results, click Filter, select or deselect the filter options, and click Apply. You can filter by Region, Practice, Group, and Templates Only. Your filter selections are retained between browser sessions.

    The projects are displayed in separate cards by default. To change the view to a list, select List from the Change View button menu. Your selection is retained whenever you use the same browser on the same device.

  3. Click Next. The project tasks and their associated details are displayed, and all of the tasks are selected by default.
  4. [Optional] Select an option that reflects the date the copied tasks should start or end in the project that they are being copied to. The existing hierarchy, durations, and dependencies are calculated relative to this date:
    • Starting on project start date: The start date of the earliest copied task matches the start date of the project. If the project does not have a start date, the task's original start date is used.
    • Ending on project end date: The end date of the latest copied task matches the end date of the project.
    • Starting on selected date: Select a start date for the earliest copied task.
    • Ending on selected date: Select an end date for the latest copied task.

    Your option is retained if you are using the same browser on the same computer.

  5. [Optional] Deselect any tasks that you do not want to add.
  6. Click Add Tasks. A progress bar is displayed as the selected project tasks are added to the current project. You can view the copied project tasks Project Tasks related list.
Notes:
  • If a project task has an associated work calendar, its dates are adjusted to avoid any non-working days. This functionality ignores the Allow Start/End on Non-working Days checkbox on the associated work calendar.
    If a project task does not have an associated work calendar, a 24/7 calendar is applied and its dates are not adjusted for non-working days.
  • Milestones that are associated with the selected project tasks are always copied.
  • You will receive a success notification when the records are copied or a failure notification if the jobs fail due to an error. To view success or failure notifications, click View notifications in your org. You will also receive a partial success notification when some records are processed and others fail due to errors. For the failed records, an email is sent with the success and failure count and details of the errors to help you resolve the issue.

Supported Functions of Project Tasks

When you add tasks from a template to another project, the following functionality is supported:

  • Milestone support. If this is activated, milestones are copied if they are associated with a copied project task. For this to be active, a task must have an associated milestone, and the Milestone field is in one of the Project Task field sets:
    • Create Project From Template Alt Copy Project Task Fields
    • Create Project from Template Project Tasks Columns
  • Work calendar support. Work calendars are respected for copied project tasks if the Work Calendar field is in the Create Project From Template Alt Copy Project Task Fields field set.
  • Task order. If the destination project contains existing tasks, the WBS of the copied tasks is cleared and the copied tasks are added to the bottom of the existing task hierarchy.
  • Project task assignments (PTAs) are copied with project tasks. Assignments and resource requests are not copied.
